Job Description We are seeking a highly organized, dependable, and patient-centered Medical Receptionist / Medical Assistant to join our fast-paced outpatient clinic. This is a hybrid role responsible for both front office administrative duties and back office clinical support. The ideal candidate is detail-oriented, comfortable working independently, proficient with electronic medical records, and able to maintain professionalism and compliance in a small but high-volume clinical setting. Front Office Responsibilities • Greet and check in/check out patients, • Verify insurance eligibility and benefits, • Collect copays and outstanding balances, • Manage multi-line phone system, • Schedule appointments accurately and efficiently, • Process referrals and prior authorizations, • Maintain HIPAA-compliant patient documentation, • Scan and upload records into EMR, • Handle patient portal communications, • Manage medical records requests Back Office Responsibilities • Room patients and obtain vital signs, • Perform medication reconciliation, • Document chief complaint and history in EMR, • Administer injections (e.g., testosterone, B12, vaccines, IM medications) per protocol, • Assist with minor procedures, • Collect specimens and prepare labs when phlebotomist not scheduled, • Coordinate with outside laboratories as needed, • Provide patient education and aftercare instructions, • Maintain inventory and clinical supplies, • Ensure exam rooms meet infection control standards Required Qualifications • Medical Assistant certification (preferred but not required depending on experience), • Minimum 1–2 years experience in medical office setting, • Strong EMR proficiency (Athena experience preferred), • Knowledge of insurance verification and prior authorization processes, • Excellent communication skills, • Ability to multitask in a fast-paced environment, • Strong documentation skills, • Professional demeanor and appearance Preferred Experience • Injection administration (IM/SubQ), • Experience with hormone therapy patients, • Prior authorization and insurance appeals, • LabCorp or outside lab coordination, • Chronic disease management support, • Patient portal communication management, • Compliance-focused documentation Personal Attributes • Self-motivated and accountable, • Highly organized, • Strong critical thinking skills, • Compassionate and nonjudgmental, • Able to work independently in a small team environment, • Adaptable to evolving clinical workflows Physical Requirements • Ability to stand for extended periods, • Ability to lift up to 25 lbs, • Frequent computer use Company DescriptionSmall, family-owned outpatient medical clinic led by a Family Nurse Practitioner with HIV certification.
