Job DescriptionSalary: $55,000 $65,000 SUMMARY: The Volunteer & MATTERbox Operations Coordinator is responsible for the enhancement and fulfillment of the MATTERbox program while supporting key volunteer coordination, events, and organizational development initiatives. This includes overseeing the intake, production, fulfillment, and distribution of MATTERbox kits while coordinating closely with internal teams, volunteers, donors, and external partners. This position requires a detail-oriented, high-energy individual with strong leadership, organizational, and communication skills, capable of making independent decisions on program improvements, logistics, resource allocation, and volunteer engagement. Key responsibilities include ensuring excellence in volunteer experience, maintaining timely and high-quality production standards, overseeing inventory and assisting with logistics, coordinating distribution with community partners, and supporting revenue generation through MATTERbox sales and sponsorships. The role also supports broader development efforts, including donor stewardship, Salesforce data management, communications, and event coordination. This full-time, in-office role offers opportunities for leadership and growth within a collaborative, mission-driven environment and requires some evening and weekend hours to support volunteer and donor events. This position reports to the President, U.S. Operations & Chief Engagement Officer. PRIMARY RESPONSIBILITIES: MATTERbox Program Support: • Coordinate and oversee MATTERbox production from intake through fulfillment and community distribution, including scheduling and organizing volunteer efforts to ensure timely, accurate delivery and maintain high standards of quality and productivity, • Collaborate with the MATTERbox sales team to manage communication, providing follow-up and impact reporting, • Lead and continuously improve program logistics and workflow efficiency, ensuring operational excellence and adherence to strategic goals, • Maintain accurate inventory of products, printed materials, and kit components; monitor expiration dates and forecast and communicate supply needs for upcoming events, • Coordinate distribution logistics with community partners and ensure professional, timely delivery of MATTERbox kits and materials, • Manage administrative processes, including MATTERbox spreadsheets, inventory software, fulfillment documentation, and Salesforce data entry and reporting, • Generate and manage content for volunteer newsletters and post-event surveys to share program updates, highlight impact, and gather feedback, • Lead event setup and post-event cleanup for MATTERbox volunteer experiences, including merchandise sales and invitations to future engagement opportunities, • Participate in MATTERbox team meetings and co-lead strategic planning discussions to identify and implement improvements, • Ensure excellence and consistency across all aspects of MATTERbox operations, from volunteer engagement to product quality and partner satisfaction, • Ensure the warehouse and assembly spaces remain clean, organized, and compliant with safety standards, • Collaborate with the internal team on Shamwari Room setup for corporate and team events, ensuring professional presentation and readiness Volunteer Coordination: • Recruit, onboard, and train volunteers, ensuring understanding of MATTERs mission, safety procedures, and kit assembly processes, • Schedule and manage volunteer shifts to ensure appropriate coverage and efficient kit production, • Serve as the primary point of contact for volunteers, offering support and maintaining a welcoming, motivational environment, • Develop and implement volunteer engagement strategies that include retention initiatives, process improvements, and creative recognition programs to acknowledge and reward volunteers, fostering long-term commitment and satisfaction, • Track volunteer participation and performance using Salesforce or other systems, and prepare reports for key performance indicators (KPI) and program impact tracking, • Execute volunteer activities outside of the MATTERbox area as needed (i.e. MATTER 360 volunteer groups) Events & Community Support: • Assist in planning and executing on-site and off-site MATTERbox volunteer and donor events, supporting sponsor engagement through clear communication, recognition, and follow-up, • Serve as a key liaison for MATTERbox-related community engagement initiatives, maintaining professional relationships with donors, volunteers, and partner organizations Other Duties: • Greet and assist visitors, providing informative and inspiring tours of MATTERs facility, • Lead or support special projects related to volunteer engagement, operations, or event process improvement, • Attend staff meetings and contribute to organizational initiatives and culture-building efforts, • Complete all required trainings, • Perform additional duties as assigned to advance MATTERs mission and community impact QUALIFICATION REQUIREMENTS: • Bachelors degree or equivalent work experience, • 35 years of experience in volunteer management, event coordination, program management, or a similar role, preferably in a nonprofit or mission-driven organization, • Proficiency in Salesforce CRM or similar data management tools, and Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with online forms and survey tools, • Demonstrated success in leading volunteer programs and events with measurable outcomes, • Highly organized and detail-oriented, with the ability to manage multiple projects simultaneously while maintaining accuracy and efficiency, • Excellent communication and interpersonal skills, able to engage effectively with volunteers, donors, partners, and team members, • Strong public speaking and presentation skills with the ability to represent MATTER confidently to diverse audiences, • Proven problem-solving and critical-thinking abilities to address challenges in logistics, coordination, and operations, • Physical ability to lift up to 50 lbs. and stand for extended periods during volunteer and community events, • Valid drivers license required;
