Job Description Are you a people person who loves building relationships, improving systems, and creating efficiency in how teams serve their customers? Chester County Fuel Team is looking for a Client Relations Specialist who’s equal parts customer service expert, CRM guru, and process builder - someone who will become the go-to person for both clients and the internal team. Compensation • Base Salary: $40,000–$45,000 based on experience, • Serve as the first point of contact for customers regarding fuel orders, invoices, and service inquiries., • Proactively reach out to segmented customer lists to strengthen relationships and promote additional services (e.g., offering heater repair to oil delivery clients or propane service to oil-only customers)., • Follow up on customer queries, ensure timely responses, and maintain a high level of client satisfaction., • Address and resolve customer concerns; escalating to senior staff when needed, while maintaining professionalism and empathy., • Learn to answer inbound calls using Blue Cow software during your first 90–120 days, particularly during peak seasons. CRM Management (Pipedrive) • Become the internal Pipedrive Subject Matter Expert (SME), owning all aspects of setup, customization, and maintenance., • Build out customer segmentation within Pipedrive (e.g., oil-only, oil + propane, heating/AC services)., • Create and manage pipelines, workflows, and automations to streamline daily operations., • Enter, update, and maintain all customers and deal data with accuracy and attention to detail., • Configure integrations with Outlook, email marketing, and communication tools to enhance system efficiency., • Generate regular CRM reports and dashboards to track activity, deal progress, conversion rates, and opportunities., • Maintain CRM, ensure data is accurate, duplicate-free, and consistently used across the team. Process Building & Documentation • Design, document, and own processes related to CRM usage, customer outreach, and system maintenance., • Record video walkthroughs and written guides to support continuity and training., • Collaborate with leadership to develop call scripts, email templates, and drip campaigns for targeted customer communication., • Identify patterns, trends, or recurring issues using CRM data and recommend actionable process improvements., • Evaluate new features or integrations as Pipedrive evolves and roll them out to the team when relevant. Sales Enablement & Business Growth • Conduct warm outreach to existing customers with the goal of introducing new services and strengthening account relationships., • Record all outreach activity and progress in the CRM, tracking leads through the pipeline., • Work closely with the leadership team to identify sales opportunities and contribute to business growth goals., • Provide actionable insights from CRM reports to guide marketing, sales, and service decisions. Training & Collaboration • Train colleagues on CRM usage, data entry best practices, and new process rollouts., • Partner with management to ensure smooth communication between departments., • Participate in internal meetings, providing updates on CRM performance, customer engagement, and process improvements., • Support company initiatives and other administrative or customer-facing duties as assigned.Qualifications:, • Strong verbal and written communication skills with a warm, professional phone presence., • Comfortable working with multiple systems, integrations, and automations., • Able to manage pipelines, projects, and follow-ups without missing details., • Confident in conducting warm outreach and introducing additional services., • Bachelor’s degree or equivalent experience; background in client relations, inside sales, or operations support is a plus.About Company Chester County Fuel has been proudly serving the heating and cooling needs of homeowners and businesses in Chester County for over 30 years.
