Operations Manager Company Overview Our client is an early-stage blockchain security assurance company based in Berkeley, California. They specialize in formal verification and security audits for smart contracts and cryptographic protocols, providing audit services, comprehensive verification, and ongoing security partnerships to blockchain projects. The company operates with a distributed team of 10+ professionals and is experiencing rapid growth in the blockchain security space. Position Summary We are seeking an Operations Manager to support the CEO and CTO by managing customer work tracking, contracts, billing, and HR operations. This role enables leadership to focus on technical delivery and business development while ensuring smooth operational execution across all business functions. You will be responsible for the full lifecycle of customer engagements from intake through completion, including contract administration, financial operations, and team coordination. This is a full-time W-2 position requiring at least 3 days per week in the Berkeley office, with flexible scheduling for which days you work on-site. This role is not open to C2C arrangements. Key Responsibilities Customer Work & Commitments Tracking Project Tracking • Track audit and verification projects from intake to completion, • Maintain project pipeline with status, timelines, and deliverables, • Monitor scope changes and update project documentation, • Track audit report delivery, remediation cycles, and on-chain attestations, • Coordinate between audit team members across timezones, • Maintain customer database with contact info, project history, and communication logs, • Track customer inquiries and response times, • Manage follow-up for re-audits and ongoing partnership agreements, • Coordinate with customers on remediation tracking, • Handle scheduling for customer meetings and security triage requests Contracting & Legal Contract Administration • Draft and manage audit engagement agreements, • Track contract terms, deliverables, and obligations, • Maintain contract templates for standard audits, comprehensive verification, and partnerships, • Coordinate contract reviews and approvals with CEO/CTO, • Track renewal dates for partnership agreements, • Document project scope for each engagement, • Track scope changes and coordinate amendments, • Maintain records of what's included in each service tier Billing, Invoicing & Payments Financial Operations • Generate and send invoices based on contract terms, • Track payment terms and due dates, • Monitor accounts receivable and follow up on overdue payments, • Process payment receipts and update records, • Maintain pricing information for different service tiers, • Handle cryptocurrency payment coordination if applicable, • Track revenue by customer, project type, and time period, • Monitor project profitability, • Flag payment issues or disputes HR & Team Management Team Administration • Maintain employee and contractor records, • Track work authorizations for distributed team, • Coordinate onboarding for new team members, • Manage time tracking and utilization, • Process payroll for employees, • Manage contractor invoices and payments, • Track hours for time-based compensation, • Schedule team meetings across timezones, • Maintain team calendar and availability, • Track PTO and coverage planning, • Coordinate resource allocation across projects Systems & Tools CRM and Project Management • Maintain customer records and project data, • Generate reports on pipeline, workload, and capacity, • Maintain accounting records, • Coordinate with bookkeeper or accountant, • Maintain internal procedures and templates, • Keep audit methodology documentation current, • Organize project files and deliverables Required Qualifications Technical Skills • 3+ years of operations, business operations, or project management experience, • Strong organizational skills with ability to manage multiple projects and deadlines, • Experience with CRM systems and project management tools, • Proficiency with financial operations including invoicing, AR/AP, and basic accounting, • Comfortable with contract administration and legal documentation, • Experience coordinating distributed teams across timezones, • Familiarity with Notion, Rippling and GSuite tools required Core Competencies • High attention to detail with strong follow-through, • Excellent written and verbal communication skills, • Ability to work independently and take ownership of processes, • Strong problem-solving skills and ability to improve operational efficiency, • Experience managing sensitive information with discretion, • Comfortable working with technical teams and understanding technical concepts at a high level Work Style • Self-directed with ability to prioritize and manage workload independently, • Adaptable to changing priorities and comfortable with ambiguity, • Proactive in identifying and resolving operational issues, • Thrives in early-stage, high-growth startup environments Preferred Qualifications • Bachelor's Degree in business, operations, or related field or equivalent experience, • Experience in technology companies or professional services firms, • Familiarity with blockchain or security industry, • Experience with cryptocurrency payment processing, • Background in HR administration or benefits management, • Experience with international payroll and contractor management, • Previous startup or early-stage company experience Position Details • Type: Full-time W-2 position, • Location: Berkeley, CA (hybrid - at least 3 days per week in office, flexible scheduling), • Salary: $90,000+ depending on experience, • Reports to: CEO and CTO Benefits • Health insurance, • 401(k) with employer match, • Equity/stock options, • 10 days PTO plus paid holidays, • Opportunity to build operations infrastructure at a fast-growing startup
