Job Description Legal Assistant / Backup Receptionist Job Type: Full-time | In-Person | Olivette, Missouri About Us: Boggs, Avellino, Lach & Boggs, L.L.C. is an AV-rated civil defense litigation firm with a strong reputation for excellence and client service across Missouri and Illinois. We are a fast-paced, collegial office that values professionalism, precision, and dedication. We are looking for a sharp, organized, and personable legal assistant who is also comfortable stepping in to cover the front desk when our primary receptionist is unavailable. Position Overview: This is a dual-function position in which legal assistant work for our attorneys is the primary responsibility, and back-up front desk coverage is the secondary responsibility. The right candidate will spend the majority of the workday supporting our attorneys with substantive legal assistant work — typing and proofreading correspondence and pleadings, organizing case files, calendaring deadlines, assembling discovery packages, and communicating with courts, opposing counsel, and clients. When our primary receptionist is out of the office, on lunch, or otherwise away from the front desk, this person will step in to greet visitors, answer the multi-line phone system, and keep the front office running smoothly. We need someone who genuinely takes pride in producing accurate, polished legal work and who is also gracious and professional when the front-desk role is needed. Key Responsibilities — Legal Assistant (Primary): • Type, proofread, and format legal correspondence, pleadings, discovery, and other documents under attorney supervision., • Transcribe and process attorney dictation (handheld recorder, Dictaphone, Dragon, phone-based, or app-based dictation)., • Calendar hearings, depositions, deadlines, and appointments accurately and on time., • Maintain physical and electronic case files in an organized and current condition., • Assemble discovery packages, court filings, and client communications., • Coordinate with courts, opposing counsel, expert witnesses, and clients as directed by attorneys., • Support attorneys and paralegals on time-sensitive tasks throughout the workday. Key Responsibilities — Backup Receptionist (Secondary): • Cover the front desk when the primary receptionist is on lunch, on PTO, or otherwise unavailable., • Greet clients, opposing counsel, vendors, and visitors in a warm and professional manner., • Answer and direct calls on a multi-line phone system, take accurate messages, and ensure timely follow-up., • Manage incoming and outgoing mail, deliveries, and courier packages while covering the desk., • Coordinate with attorneys, paralegals, and administrative staff to keep front-office operations smooth during coverage shifts. What We Are Looking For: • Prior experience as a legal assistant or legal secretary is strongly preferred., • Experience transcribing attorney dictation in any format is highly valued; if not, a willingness to learn is required., • Strong working knowledge of Microsoft Office Suite (Word, Outlook, Excel)., • Strong, accurate typing skills., • Familiarity with legal terminology, state and federal court filing procedures, and civil litigation workflows., • Meticulous attention to detail and a commitment to accuracy., • Professional, personable, and calm under pressure — comfortable stepping into a public-facing role when needed., • Ability to manage a multi-line phone system and a steady volume of calls with grace., • Ability to prioritize competing demands across multiple attorneys and matters., • Reliable, punctual, and committed to an in-person work schedule.
