Job Description Description: Construction business started in 2009, is currently seeking a another member to join our Bilingual (Spanish/English) Administrative Assistant staff. This position reports directly to the company owners and will be responsible with day to day office procedures; answering phones, dispatching, assisting crews, problem solving, invoicing, etc. The ideal candidate will be able to multi-task, problem solve, adjust, and have great organizational skills. Also will need to drive and assist with errands around Houston. JOB LOCATION: PASADENA, TX Responsibilities : PRIMARY RESPONSIBILITY: ASSISTING WITH INVOICING BUT ADDITIONAL TASKS INCLUDE • Answering all phones, • accept jobs, reject jobs, take job details from our providers (technicians, supervisors, and dispatchers) in a friendly and professional manner, • Dispatch crews every morning and as jobs come in, • call/send txt messages with job details to multiple crews in a timely manner, • Print work orders, • Get excavation areas located (will receive training), take notes, and fax., • Upload job details and pictures daily, • Communicate with crews and our providers, • Receive daily updates on jobs and email status updates to our providers, • Team work, very important., • Work with other Administrative Assistants and communicate important information as each will have a different phone, • Communicate with our crews and assist them with job details, directions, etc., • Communicate with business owners on escalated issues (job problems, conflicts, or delays), • Invoice, • Hand over jobs completed to business owner for invoicing, • Assist business owners with invoicing, • Communication Skills, • Organization Skills, • Dependability and Reliability (work Monday to Friday 40-45 hrs), • Ability to cope with pressure, • Customer Service, • Prior experience in a business office is preferred, • Computer literacy (experience with word docs, Google Timesheets preferred), • Bilingual, must be able to speak English and Spanish fluently, • Dependable, • Able to arrive on time, ready to work, • Have strong work ethic, • Goal, detail, and deadline-oriented, • Able to work with a dynamic group of individuals, • Able to maintain a positive attitude, • Team-oriented
