Job Description Position Summary Elevate On Track is seeking a dependable, detail-oriented Bookkeeper to support the day-to-day accounting activities of our shared-services team and affiliated operating companies. Reporting to the Controller, this position is responsible for accurate and timely transaction processing, project accounting, accounts payable, bank activity, financial-report distribution, and accounting administration. The ideal candidate is organized, comfortable working across multiple entities and projects, and committed to strong internal controls, responsive service, and accurate financial records. Essential Duties and Responsibilities RAMP Administration · Administer assigned RAMP processes, records, user support, and routine system maintenance in accordance with established procedures. · Review entries for accuracy and completeness, resolve routine discrepancies, and escalate system or process issues to the Controller. · Maintain supporting documentation and assist users with consistent adoption of required workflows. Accounting Administration, Audit, and Training · Maintain organized accounting records, schedules, standard operating procedures, and supporting documentation. · Assist with internal and external audits by gathering documentation, responding to information requests, and tracking open items. · Train and support team members on accounting processes, documentation requirements, coding practices, and system workflows. · Review transactions and processes for completeness, proper authorization, accurate coding, and adherence to internal controls. · Identify recurring errors or process gaps and recommend practical improvements to the Controller. Project Accounting · Support project billing activities, including preparation, review, and submission of invoices and required backup documentation. · Monitor accounts receivable, maintain aging information, follow up on outstanding balances as directed, and communicate collection concerns. · Process project-related accounts payable, verify coding and approvals, and match invoices to purchase orders, work orders, or other supporting records. · Create and maintain jobs in the accounting system and complete work order entry accurately and timely. · Research and resolve billing, receivable, payable, job-cost, and work-order discrepancies in coordination with project and operations teams. · Maintain accurate project records to support job-cost reporting and month-end close activities. Accounts Payable and Weekly Check Run · Receive, review, code, and enter vendor invoices; confirm appropriate approvals and supporting documentation before payment. · Monitor invoice due dates, vendor statements, credits, and outstanding items to help ensure timely and accurate payments. · Prepare the weekly check run and related payment reports for Controller review and approval. · Process approved payments, distribute remittance information, and maintain complete payment records. · Respond to vendor inquiries and reconcile account discrepancies professionally and promptly. Financial Reporting · Prepare and distribute monthly budget reports and related accounts receivable information to designated leaders. · Assist with recurring financial schedules, account reconciliations, variance research, and month-end reporting. · Verify report accuracy, maintain distribution lists, and follow up on questions or corrections. · Provide timely financial information and supporting detail to the Controller and operational leaders. Daily Bank Feed and Reconciliation · Review and process daily bank-feed transactions, ensuring accurate account and entity coding. · Match deposits, payments, transfers, and other bank activity to supporting records. · Perform daily or routine bank reconciliations, research unmatched items, and promptly report unusual or unresolved activity. · Support monthly bank reconciliation and close processes by maintaining complete, current records. Additional Responsibilities · Protect confidential company, employee, customer, vendor, and financial information. · Build effective working relationships with accounting, project, operations, and leadership teams. · Meet recurring deadlines and manage competing priorities with minimal supervision. · Perform other accounting and administrative duties as assigned by the Controller. Required Qualifications · Associate degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant experience. · At least three years of bookkeeping or accounting support experience, including accounts payable and account reconciliation. · Working knowledge of general accounting principles and transaction controls. · Strong proficiency with Microsoft Excel, Google Workspace (including Google Sheets), and QuickBooks, with experience using accounting or ERP software. · Demonstrated accuracy, organization, follow-through, and ability to meet recurring deadlines. · Effective written and verbal communication skills and sound judgment when handling confidential information. Preferred Qualifications · Experience with project accounting, job costing, construction, trades, or a multi-entity business environment. · Experience supporting billing, accounts receivable, audit documentation, and financial-report distribution. · Experience creating jobs and entering or maintaining work orders in an accounting or operational system. · Experience training users and documenting accounting procedures.
