The HR Specialist is responsible for the end‑to‑end administration, coordination, and execution of workforce reduction activities across the enterprise, including individual role eliminations, group reductions, and location closures. This role serves as the operational owner for RIF systems, severance calculations, documentation, dashboards, and day‑of execution readiness. The Specialist partners closely with HR Business Partners (HRBPs), Legal, Payroll, IT, Asset Protection, Information Security, and other critical stakeholders to ensure accurate, compliant, and seamless execution of associate notifications and post‑notification activities. This role ensures HRBPs and leaders are equipped with timely, accurate severance information to support associates with clarity, consistency, and respect during workforce transitions. This role requires strong system proficiency, exceptional attention to detail, and demonstrated experience supporting reductions in force, including union populations. Over time, this role may expand to support global RIF and severance administration. Main Responsibilities RIF & Severance Administration • Own day‑to‑day administration of Reduction in Force (RIF) and severance processes for individual and group workforce reductions, including location closures and enterprise‑wide actions., • Coordinate and validate severance eligibility determinations and calculations, ensuring accuracy, consistency, and alignment with severance plans, collective bargaining agreements, employment agreements, and legal requirements., • Maintain complete, accurate, and auditable severance records, including eligibility determinations, payment details, release agreements, and key milestones., • Own severance dashboards, trackers, and tools used to support RIF execution, reporting, and leadership visibility, partnering closely with HR Technology and IT on enhancements and system stability., • Serve as the central point of coordination for day‑of notification execution to ensure smooth delivery of associate notifications across impacted populations., • Conduct pre‑planning sessions with HRBPs to review timelines, severance details, documentation requirements, and execution readiness ahead of notification days., • Ensure HRBPs have individualized, accurate severance information to prepare communication plans and support leaders during notification conversations., • Partner closely with Legal on RIF‑related compliance requirements, including OWBPA disclosures, release agreement processes, and union considerations., • Ensure accurate compilation, review, and distribution of severance and release documentation to impacted associates following notifications., • Track execution of Severance and General Release Agreements, including signature status, revocation periods, and completion timelines., • Escalate non‑responsive or time‑sensitive cases to HRBPs and Legal to ensure compliance and timely resolution., • Act as a key coordination point across stakeholders (HRBPs, Legal, Payroll, IT Field Services, Asset Protection, InfoSec, Facilities, etc.) to ensure accurate data handoffs and aligned execution timelines., • Ensure system access changes, equipment return processes, and security protocols are coordinated with notification and termination timelines., • Identify opportunities to improve RIF and severance workflows, tools, documentation, and reporting., • Partner with HR Operations and HR Technology teams to enhance system functionality and data quality., • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field, or equivalent practical experience., • Demonstrated experience administering Reduction in Force (RIF) and severance processes in a corporate environment., • Experience supporting workforce reductions that include union populations., • Strong system proficiency with demonstrated ability to own and manage process tools and dashboards in partnership with technology teams., • Advanced Excel skills, including formulas, pivots, and structured data tracking., • Exceptional attention to detail and ability to manage sensitive and highly confidential information., • Strong written and verbal communication skills, with the ability to coordinate across diverse stakeholder groups., • Experience partnering with Employment Legal on OWBPA and severance compliance., • Experience supporting large‑scale, multi‑location, or enterprise‑wide workforce reductions., • Familiarity with DocuSign or similar document management tools., • Operational Excellence, • Confidentiality & Professional Judgment, • Detail Orientation & Data Accuracy, • Stakeholder Partnership, • Systems & Process Ownership, • Competitive wages paid weekly, • Access to up to 50% of your earned wages before payday, via our partnership with Stream, • Associate discounts, • Health and financial well-being benefits for eligible associates (Medical, Dental, 401k and more!), • Time off (vacation, holidays, sick pay).
