About the Role: Are you a highly organized, proactive Executive Assistant who thrives in a dynamic, fast-paced environment? Global Markets is seeking a dedicated professional to provide essential in-office support to our Sales & Trading personnel. This critical role demands exceptional prioritization skills, impeccable attention to detail, and the ability to seamlessly manage multiple demands in a high-energy setting. While in-office presence is paramount, remote support may be considered at the discretion of the hiring manager. What You'll Do: • Executive Support Excellence: Provide comprehensive administrative support to department heads and teams, expertly managing expenses (Concur), complex calendar scheduling, meticulous meeting and event planning, seamless travel arrangements, and precise document preparation., • Calendar Mastery: Proactively manage multiple Microsoft Outlook calendars, constructing detailed agendas and calendar entries well in advance, including those for high-level visitors. You'll expertly coordinate meetings, meals, and video/audio conferences, ensuring all participants are informed and prepared., • Global Travel Coordination: Orchestrate extensive domestic and international travel plans, developing comprehensive itineraries that meticulously account for time zones, airline/hotel preferences, key client contacts, and essential meeting materials., • Administrative Prowess: Efficiently handle general administrative tasks including correspondence management, copying, scanning, mailing, printing, binding, and timely expense submissions., • Presentation & Document Preparation: Prepare and organize critical documents, including polished PowerPoint presentations and other materials as needed, ensuring accuracy and professional presentation., • Client & Visitor Engagement: Greet guests, visitors, and clients with professionalism and warmth, fostering a welcoming and efficient atmosphere., • Technical Liaison: Serve as a key point of contact for technical issues, liaising effectively with IT support to resolve computer malfunctions or software failures., • Communicatios and Collaboration: Facilitate communication and collaboration by working directly with internal team members, account teams, and clients., • Undertake ad-hoc tasks and projects as required, demonstrating flexibility and responsiveness to changing needs. What You Bring: • Bachelor’s degree., • Minimum of 10 years of progressive experience in an executive support role within a corporate environment. Direct experience supporting executives in a trading floor is necessary., • Demonstrated mastery of the Microsoft Office Suite, including:, • Outlook: Advanced proficiency in calendar management, email organization, and scheduling complex meetings., • Word: Ability to create and modify professional documents with advanced features., • Excel: Practical experience with basic functions and formulas for data organization., • PowerPoint: Skill in modifying and enhancing presentations., • Unwavering ability to prioritize effectively and manage multiple, competing demands in a fast-paced, high-pressure environment., • Exceptional organizational skills and meticulous attention to detail., • Strong interpersonal and communication skills, with an excellent phone demeanor and the ability to convey information clearly and concisely to all levels., • Proven ability to multitask and adapt quickly to shifting priorities., • A strong orientation toward teamwork and collaboration., • Self-motivated and proactive with the ability to work independently or with minimal supervision., • Absolute understanding and commitment to maintaining confidentiality. The salary range for this position will be between $100,000 - $125,000. Natixis is required by law to include a reasonable estimate of the compensation range for this role. Actual base salary will vary and will be based on several factors including, but not limited to, relevant experience, education, skills set, applicable licensure and certifications, and other business and organizational needs. Base salary is only one component of our total rewards package. Natixis also offers a generous benefits package, and you may be eligible for a discretionary incentive award depending on company and individual performance.
