Job Description Director of Operations Organization: King Urban Life Center Location: 938 Genesee Street, Buffalo, NY Status: Full-Time Reports To: Executive Director About King Urban Life Center King Urban Life Center, located in the historic St. Mary of Sorrows Church at 938 Genesee Street in Buffalo, NY, serves as a vital community anchor supporting individuals and families with comprehensive care. Our mission is to provide academic, recreational, and enrichment programs for Buffalo's East Side community through education, family support, holistic wellness, and economic security initiatives. Position Summary The Director of Operations is responsible for overseeing the day-to-day operational functions of King Urban Life Center, ensuring both our historic main building and school building operate efficiently and effectively. We seek a self-starter who has an entrepreneurial spirit. We need a self-starter who not only self-troubleshoots problems but also actively seeks opportunities to grow the organization. This role manages facility maintenance, administrative oversight, financial processes, IT infrastructure, and grant management while working collaboratively with the Executive Director to advance the organization's mission. Key Responsibilities Facility Management & Maintenance (25%) * Maintain and manage all aspects of our historic main building and school building in concert with tenants, lessees, and the City of Buffalo. * Coordinate, establish, and strengthen relationships with contractors for plumbing, electrical, HVAC, and other building systems * Develop and implement preventative maintenance schedules * Ensure compliance with all ordinances, laws, and inspection schedules * Manage vendor relationships and service contracts * Oversee maintenance staff and facility improvement projects Administrative Oversight (20%) * Provide direct supervision to the Admin Assistant and Maintenance Staff * Develop and implement administrative policies and procedures * Ensure efficient office operations and workflow * Coordinate with staff across departments to support organizational needs * Maintain organized records and documentation systems Financial Management (25%) * Collaborate with outside bookkeeper on financial processes * Manage on-site bill payment and expense tracking * Maintain accurate financial records and documentation * Process invoices and monitor budget adherence * Support financial reporting and audit preparation * Implement financial controls and best practices IT & Equipment Management (15%) * Oversee organization's technology infrastructure and needs * Make recommendations for equipment purchases and upgrades * Maintain inventory of all organizational assets * Manage service contracts for printers, phones, internet, and other technology * Ensure data security and backup systems are in place * Troubleshoot basic technical issues and coordinate with IT service providers * Supervise the Administrative Assistant who manages the Squarespace website Grant Management & Development (15%) * Track grant award letters, reporting deadlines, and compliance requirements * Prepare financial documentation for reimbursable contracts * Support the development of grant applications and reporting * Help craft language for grant proposals and reports * Research new funding opportunities for both programming and operations * Maintain organized grant files and documentation Qualifications Required Qualifications * Bachelor's degree in Business Administration, Nonprofit Management, or related field * 1 year operational management experience, preferably in nonprofit settings, or other closely related work experience * Demonstrated experience with facility management and vendor relations * Strong financial management skills and experience with budget oversight * Excellent organizational and time management abilities * Supervisory experience and strong leadership skills * Proficiency with Microsoft Office 365, OneDrive, AI tools and related software Preferred Qualifications * Master's degree in one of the key subject areas (Business Administration, Nonprofit Management, Fundraising, Community Development, or Facility Management) * Experience working with historic buildings and related maintenance challenges * Knowledge of grant management and reporting processes * Background in nonprofit financial management * Multilingual & Multicultural communication skills (conversational or higher) * Understanding of educational or community-based organizations Skills & Attributes * Solutions-oriented problem solver with attention to detail * Strong written and verbal communication skills * Ability to manage multiple priorities in a dynamic environment * Collaborative team player with positive energy * Commitment to continuous improvement and operational efficiency * Passion for community development and the mission of King Urban Life Center Working Conditions * Work is primarily performed in an office environment with regular movement throughout the facilities * Some physical requirements including ability to move throughout multi-level historic buildings * Evening or Weekend hours required for special events or facility emergencies * Opportunity for limited remote-work timesharing Compensation & Benefits * Competitive salary commensurate with experience * Health insurance cost sharing * Paid time off including vacation, sick leave, and holidays * Professional development opportunities HOW TO APPLY Qualified candidates should submit a resume and cover letter describing their interest in and qualifications for the position to .
