Job DescriptionPosition Description: Executive Assistant & HR Generalist (People) Reports to: CEO / Human Resources Director Minimum Education • Bachelor’s degree (preferred) in Business Administration, Human Resources, Communications, or related field., • Minimum of 3+ years of combined experience in executive support and/or human resources management., • Experience supporting senior leadership (ideally C-level) in a dynamic and fast-paced environment., • Familiarity with HR operations for organizations of 50+ employees., • Demonstrated success managing administrative processes, recruiting coordination, and employee relations., • Proficiency in productivity and HR tools (Microsoft Office Suite, Google Workspace, HRIS systems, calendar and travel platforms)., • Strong organizational, communication, and problem-solving skills., • Proven ability to handle confidential and sensitive information with discretion., • SHRM-CP, SHRM-SCP, PHR, or equivalent HR certification preferred., • Strategic Partnership: Ability to anticipate executive and organizational needs and align priorities., • Sound Judgment: Discretion in handling sensitive information and high-level decision-making., • Organizational Excellence: Expert at multitasking, time management, and prioritization., • Interpersonal Effectiveness: Builds trusted relationships across teams, clients, and leadership., • Analytical and Problem-Solving Skills: Uses data to inform HR and administrative decisions., • Adaptability: Thrives in a dynamic, small-company environment with shifting priorities., • Professional Presence: Represents leadership confidently in internal and external settings., • Integrity and Ethics: Maintains confidentiality and demonstrates fairness in all HR matters., • Executive Support: Manage executive’s calendar, schedule, and travel — including client, government, and partner engagements., • Prepare agendas, briefings, and follow-ups for internal and external meetings., • Draft, edit, and manage executive correspondence, presentations, and reports., • Act as the primary liaison between the executive and internal/external stakeholders., • Anticipate needs, manage shifting priorities, and ensure the executive is fully briefed., • Maintain and improve organizational systems for scheduling, communication, and workflow efficiency., • Human Resources Management: Support the execution of the organization’s HR strategy and alignment with business objectives., • Assist in developing, implementing, and maintaining HR policies, handbooks, and compliance documentation., • Manage HRIS data accuracy and reporting; support workforce analytics., • Ensure compliance with all federal, state, and local employment laws and reporting requirements., • Support end-to-end recruitment, onboarding, and offboarding processes., • Maintain job descriptions, coordinate interviews, and conduct background/reference checks., • Partner with management to identify training and development needs., • Serve as a first point of contact for employee questions and concerns., • Foster a positive and inclusive workplace culture that encourages engagement and retention., • Mediate minor conflicts, promote open communication, and ensure fair resolution processes., • Coordinate company-wide morale and recognition initiatives., • Administer compensation and benefits programs, ensuring compliance and market competitiveness., • Support the performance management cycle — goal setting, reviews, and feedback tracking., • Technical Proficiency: Microsoft Office Suite, Google Workspace, HRIS, and CRM platforms., • Communication: Excellent verbal and written communication; capable of drafting high-quality materials., • Data Management: Ability to collect, analyze, and report on HR metrics (e.g., turnover, diversity, engagement)., • Occasional travel (domestic/international) for business or HR events., • The Executive Assistant & HR Generalist (People) is a hybrid role designed to bridge executive support and human resources operations., • This position ensures that leadership has the administrative leverage to focus on strategy, while HR functions run efficiently, compliantly, and in alignment with organizational culture., • The ideal candidate is a proactive, detail-oriented professional who thrives on versatility, confidentiality, and collaboration.
