Job Description Role Summary The Accounting Specialist is responsible for managing and reconciling financial transactions related to civil foreclosure actions, garnishments, and Sheriff's sales. This position ensures the accurate receipt, processing, tracking, and disbursement of funds in compliance with Louisiana law, court orders, and internal policies. The Accounting Specialist serves as a key financial liaison between the Sheriff's Office, courts, attorneys, financial institutions, and the public, while maintaining detailed and auditable financial records. Key Responsibilities • Oversee and monitor case balances for the Civil Division, including garnishments, writs of seizure and sale, and Sheriff's sales, ensuring funds are accurately applied to each case., • Reconcile and balance daily financial activity for multiple clerk drawers, verifying accuracy of receipts, payments, and deposits., • Deposit payments, including checks, money orders, and electronic payments, in accordance with established procedures and deadlines., • Accurately post payments to case management and accounting systems, ensuring proper allocation of funds to costs, fees, judgments, and distributions., • Assist in the creation, documentation, implementation, and ongoing maintenance of Standard Operating Procedures (SOPs) for the Civil Foreclosure and Garnishment Departments., • Ensure all SOPs comply with applicable Louisiana statutes, court rules, audit standards, and best practices for governmental accounting and internal controls., • Communicate professionally and effectively with attorneys, courts, judicial entities, financial institutions, vendors, and the public regarding case balances, payment status, disbursements, and procedural requirements., • Prepare and process file closeouts by verifying that all funds have been properly applied, disbursed, and documented prior to final filing and record retention., • Maintain complete, accurate, and well-organized financial records to support internal reviews, external audits, and public records requests., • Identify and resolve discrepancies, errors, or inconsistencies in financial records and case files in a timely manner., • Provide support during audits, inspections, and reviews by internal or external oversight entities., • Maintain confidentiality and security of sensitive financial, legal, and personal information., • Perform related duties as assigned to support the efficient operation of the Civil Division. Knowledge, Skills, and Abilities: • Working knowledge of basic accounting principles, reconciliations, and internal controls., • Familiarity with legal terminology and civil court processes related to foreclosures, garnishments, and Sheriff's sales., • Strong attention to detail and accuracy when handling financial data and legal documentation., • Effective written and verbal communication skills, with the ability to interact professionally with diverse stakeholders., • Proficiency in basic computer applications, including word processing, spreadsheets, and case management or accounting software., • Ability to work independently while also functioning as part of a team., • Strong organizational and problem-solving skills. Qualifications • College Degree, • Three years related experience in accounting or paralegal role, • Associate's degree with minimum of 5 years' experience in accounting or paralegal role, • Basic computer knowledge., • Must be able to multi-task., • Good communication skills Applicants must be agree to have criminal, credit, education and employment history checks conducted.
