You will serve as the first point of contact for visitors and employees, coordinate calendars and meetings, assist with payroll and invoicing, and help keep the office running smoothly. Responsibilities • Welcome and assist visitors, guests, and employees, ensuring a professional and friendly first impression., • Answer and direct incoming phone calls and emails promptly and courteously., • Coordinate executive calendars, including scheduling meetings, appointments, and office events., • Support communication and meeting coordination with both domestic and international teams., • Assist with payroll administration by working with a third-party payroll provider and handling related documentation., • Process, track, and help resolve invoices and other administrative financial documents., • Maintain overall office organization, including managing supplies and supporting day-to-day office operations., • Assist with various administrative projects and clerical tasks, including data entry and document preparation., • Provide general support to leadership and office staff, stepping in to help wherever needed., • Contribute to a positive, collaborative office culture by demonstrating reliability, professionalism, and a helpful attitude.Essential Skills, • At least 2+ years of experience in a receptionist, administrative assistant, office coordinator, or similar administrative role., • Demonstrated customer service skills with the ability to create a welcoming and professional environment., • Strong interpersonal communication skills, both verbal and written., • Experience managing calendars, scheduling meetings, or coordinating executive schedules., • High attention to detail and strong organizational abilities to handle multiple tasks effectively., • Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel., • Ability to prioritize tasks, manage time effectively, and work independently with minimal supervision., • Comfort working with invoices, payroll support activities, and administrative documentation., • Dependable work style with a commitment to accuracy and follow-through.Additional Skills & Qualifications, • Friendly, welcoming, and professional demeanor when interacting with visitors, staff, and external partners., • Strong interpersonal skills that support effective collaboration in a small-office environment., • Positive attitude and willingness to assist with a wide range of tasks as needs arise., • Ability to thrive in a close-knit team setting where teamwork and mutual support are highly valued., • Experience with front desk operations, clerical duties, and data entry., • Background in receptionist customer service or administrative support roles., • Interest in building a long-term career within an office environment.Work Environment This role is fully onsite in a small, close-knit office environment in Ypsilanti, MI. Standard hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. You will work closely with leadership and office staff in a collaborative setting where teamwork and clear communication are essential. The environment is professional and customer-focused, with regular interaction with visitors, guests, and employees. You will use office technologies such as Microsoft Office Suite (Outlook, Word, Excel) and standard office equipment while supporting day-to-day operations and contributing to a supportive, long-term team culture. Job Type & Location This is a Contract to Hire position based out of Ann Arbor, MI. Pay and Benefits The pay range for this position is $20.00 - $23.00/hr.
