Position Summary \n Ajax Health is seeking a highly motivated and detail oriented Accounting Manager to own key accounting, payables, compliance, and financial reporting activities across our management company and a group of portfolio companies. This is a hands-on role with significant ownership: the Accounting Manager runs multi entity accounts payable end to end, manages a recurring calendar of tax and regulatory filings, administers the purchase order process, and owns the month end close, reconciliation, and financial reporting process for assigned entities. \n Our portfolio companies are entrepreneurial, growth stage businesses where priorities evolve quickly and lean teams work across traditional functional boundaries. The ideal candidate is comfortable both executing the work and owning the outcome. operating independently without extensive infrastructure or layers of support. We also expect this role to work smarter, not just harder. Ajax Health uses AI tools across the finance function, and we are looking for someone genuinely curious about applying them to accounting work. The specific portfolio companies supported by this position may evolve over time based on business needs. \n \n Essential Responsibilities \n Accounts Payable and Disbursements \n\n • Own the full accounts payable cycle across multiple legal entities, including invoice intake, entry, coding, approval routing, payment, and recordkeeping, primarily in Ramp and Bill.com.\n, • Act as approver and processor for expense reports across all entities and administer the expense platforms (Expensify, Ramp), including approval hierarchies, user setup, and the accounting system sync.\n, • Manage vendor onboarding and maintenance, including W-9 collection, banking detail verification, and completion of credit applications and new vendor forms.\n, • Maintain recurring payments for rent and other fixed obligations, monitor AP aging, resolve vendor and statement discrepancies, and support short term cash disbursement forecasting.\n\n Purchasing and Purchase Orders \n\n • Review purchase requests and supporting quotes, confirm budget alignment, route requests above established approval thresholds to the appropriate approver, and prepare and issue purchase orders to requesters.\n, • Maintain purchase order numbering and documentation by entity, and match invoices to purchase orders and receiving documentation, investigating and resolving variances.\n\n Tax, Regulatory, and Compliance Filings \n\n • Own the compliance calendar and ensure each obligation is filed accurately and on time, including multi jurisdiction sales and use tax returns on quarterly and annual cycles, Secretary of State and Delaware annual filings, and municipal business license renewals.\n, • Prepare and file annual Form 1099 reporting, including vendor data validation and reconciliation of reportable payments.\n, • Prepare exemption certificates, reduced tax rate forms, and similar documentation as needed.\n, • Support tax provision work and other external reporting requirements by preparing schedules and coordinating with external tax and accounting advisors.\n\n Close, Reconciliation, and Reporting \n\n • Own the full month end close process for assigned entities, including establishing and managing the close calendar, preparing and reviewing journal entries, completing account reconciliations, identifying and resolving outstanding items, and ensuring an accurate and timely close.\n, • Manage monthly, quarterly, and annual close activities for the management company and assigned portfolio companies and prepare financial statements and supporting schedules for review by finance leadership.\n, • Assist with cash forecasting, budget to actual reporting, and financial analysis that supports business decision making.\n, • Coordinate with payroll, HR, and external providers, including the company’s PEO, to ensure payroll, benefits, and other employee related expenses are recorded accurately.\n, • Review general ledger activity and financial results for completeness and accuracy, investigate unusual variances, and ensure appropriate accounting treatment in accordance with U.S. GAAP.\n\n Audit Responsibilities \n\n • Serve as a key point of contact for external auditors, coordinating audit requests and timelines and preparing supporting schedules, reconciliations, and documentation.\n, • Partner with finance leadership and external auditors to resolve audit questions and findings and support the implementation of resulting process or control improvements.\n\n Process and Technology \n\n • Use Excel and AI tools, including Claude, to accelerate recurring work such as data cleanup, reconciliation, document review, and process documentation, verifying output against source records before it is relied on.\n, • Identify manual, repetitive, or error prone steps in the accounting and payables workflow and implement better approaches, and document procedures so processes are repeatable and not dependent on any single individual.\n\n \n Qualifications \n\n • Bachelor’s degree in Accounting, Finance, or a related field required.\n, • 6+ years of progressive accounting experience, including hands on responsibility for general ledger accounting, month end close, reconciliations, and financial reporting.\n, • Demonstrated experience independently managing the full month end close process.\n, • Experience working directly with external auditors and preparing audit schedules and supporting documentation.\n, • Experience working across multiple legal entities and managing competing accounting deadlines.\n, • Strong knowledge of U.S. GAAP and fundamental accounting principles.\n, • Proficiency with QuickBooks (Desktop and Online) and with AP or spend management platforms such as Ramp, Bill.com, and Expensify.\n, • Advanced Excel skills.\n, • Comfort using AI tools such as Claude, ChatGPT, or Copilot, along with sound judgment about where they are and are not appropriate, including verifying output against source documentation and handling confidential financial information in line with company policy.\n, • Demonstrated ability to learn new systems quickly and independently, and a track record of improving or streamlining a process rather than executing one as inherited.\n, • Ability to track and meet a high volume of recurring deadlines across multiple entities with limited oversight.\n, • Demonstrated discretion and sound judgment handling confidential financial information, including system credentials and banking details.\n\n \n Preferred Qualifications \n\n • Experience in a startup, emerging growth, or other
