Position Summary Aeon is seeking a highly organized, proactive, and trusted Executive Assistant to support the President and CEO and the Board of Directors. This position drives organizational impact by advancing the priorities of the President and CEO, ensuring alignment and follow-through across teams, and fostering strong connections among staff, board members, and community partners. The role combines executive administrative responsibilities, board support, and the leadership of projects that drive the organization's mission forward. It requires sound judgment, discretion, and the ability to manage multiple priorities in a dynamic, mission-driven environment. The Executive Assistant serves as a reliable partner who brings a strong sense of purpose, a commitment to high-quality work, and a people-centered approach that supports collaboration, relationship-building, and the success of the broader team. The Executive Assistant reports directly to the President and CEO. Key responsibilities may include, but are not limited to: Executive Support • Manage the President and CEO's calendar, scheduling, and contacts, ensuring effective prioritization and alignment with organizational goals., • Prepare materials and coordinate logistics for meetings, presentations, and engagements; track decisions and action items to ensure timely follow-through, including for leadership team meetings., • Support relationship management through thoughtful follow-up and care, including correspondence, acknowledgements, hospitality, and other activities that strengthen relationships with staff, board members, and external partners., • Coordinate travel arrangements and prepare and process expense reports., • Coordinate all Board and committee meetings, including scheduling and logistics., • Manage board and committee workplans, tracking progress against annual and monthly goals and key deliverables., • Prepare and compile Board and committee materials, agendas, and supporting documents, ensuring accuracy, clarity and timeliness., • Manage meeting technology, recordings, and transcripts as needed., • Serve as a primary point of contact for Board member inquiries., • Partner with staff across Aeon to gather, review, and finalize materials for Board review., • Conduct research, draft documents, and provide copy editing support for a variety of executive and organizational materials., • Lead and manage select projects and initiatives on behalf of the President and CEO, ensuring clear plans, stakeholder alignment, and timely execution., • Support the President and CEO in tracking and advancing key organizational priorities, partnering with senior leaders to ensure alignment and follow-through as directed., • Serve as a connector across the senior leadership team., • Facilitate engagement with external partners to advance organizational priorities and strengthen community relationships., • Collaborate closely with Aeon's Advancement team to support fundraising efforts and events., • Maintain records and prepare tracking reports for key Board and CEO priorities, including governance, risk, compliance, and other sensitive organizational matters. Skills and Qualifications The ideal candidate is a strong relationship-builder who can anticipate needs and think ahead, while demonstrating exceptional attention to detail and care in managing critical information, documentation, and follow-through. This individual is equally comfortable working independently and collaborating with others across the organization, ensuring both big-picture priorities and essential details are handled with accuracy and consistency. Additionally, we are looking for candidates with: • Significant experience supporting senior executives, preferably in a nonprofit or mission-driven organization., • Demonstrated experience supporting Board operations or governance processes, including meeting coordination and preparation of materials., • Exceptional organizational and time management skills, with the ability to manage multiple priorities and competing deadlines effectively., • Strong written and verbal communication skills, with the ability to draft, edit, and refine high-quality materials., • Proven ability to handle sensitive and confidential information with discretion and professionalism., • Experience managing complex projects, including planning and ensuring timely execution., • High level of initiative, adaptability, critical thinking, and problem-solving ability., • Ability to independently assess and address issues with discernment and sound judgment, including determining when to elevate matters to the President and CEO., • Demonstrated strength in project management, including the ability to scope initiatives, develop workplans, coordinate stakeholders, track progress, and ensure timely and high-quality execution., • Familiarity with nonprofit governance and Board operations is preferred., • Experience supporting fundraising or external relations efforts is preferred., • Demonstrated ability to engage in culturally responsive interpersonal communication., • Resourceful, solutions-oriented, and committed to building and stewarding strong relationships., • Advanced proficiency with Microsoft Office Suite, and the ability to learn new systems and tools quickly., • Strong attention to detail managing records, reporting, and documentation related to executive and Board priorities., • Commitment to learning and participating in Aeon's diversity, equity, and inclusion efforts., • Ability to remain in stationary position for extended periods while working at a computer and attending meetings., • Ability to operate standard office equipment, including computers, phones and printers., • Ability to move about the office to access files, meeting spaces and office equipment., • Ability to reach above and below shoulder height to access file cabinets, storage areas, and office supplies., • Ability to lift and carry materials up to 15 pounds on an occasional basis, such as meeting materials or event supplies., • Ability to communicate clearly and effectively, both verbally and in writing, in person and through virtual platforms. Compensation, Hours and Location This position has a range of pay of $50.48-$60.10 per hour, depending on experience and skillset. Aeon offers a comprehensive benefits package that includes medical, dental, vision, life insurance, long-term disability, retirement plan, generous paid time off and an employee assistance program. This full-time position generally follows a Monday–Friday schedule, typically 8:30 a.m.–5:00 p.m., requiring occasional evenings, early mornings, or other hours to accommodate Board meetings, special events, and key organizational priorities. This is a hybrid position based out of Aeon's Central Office in the North Loop of Minneapolis, with regular on-site visits to current, future, and potential Aeon properties, as well as other community locations. In-person work is typically expected on Tuesdays and Wednesdays. On remote workdays, the employee must be available to travel for scheduled or urgent on-site visits, trainings, and meetings. Candidates must either currently reside in or plan to relocate to the Twin Cities metro area prior to a start date.
