Job Description The Administrative Assistant supports the efficient, professional, and welcoming operation of the Godine Early Learning Center office. Working collaboratively with the Director and Operations Manager, this role helps ensure smooth daily workflows by coordinating communication, documentation, and logistics across families, educators, and leadership. The Administrative Assistant plays an important role in maintaining accurate records, organizing office systems, coordinating communication, and ensuring the front office runs smoothly. This position supports operational excellence by supporting essential administrative details, assisting with compliance processes, and contributing to the warm, community-centered culture of the school. The Administrative Assistant helps maintain organized systems, supporting efficient workflows, and strengthening communication between families, staff, and leadership. This role contributes to the smooth day-to-day functioning of the ELC while reflecting the values and mission of the ELC and JCC Greater Boston. Primary responsibilities include, and are not limited to: Office Coordination and Communication • Serve as a welcoming presence in the ELC office, greeting families, staff, and visitors warmly and professionally., • Answer phones, emails, walkie communication and in-person inquiries, ensuring that messages and information are directed promptly to the appropriate person., • Keep the office environment organized and responsive, reflecting the center’s values of respect, care, and community., • Coordinate the flow of information between families, educators, ELC leadership and agency departments. Support clarity and consistency in communication.Administrative and Compliance Support, • Support in maintaining accurate student and staff files in accordance with established protocols and licensing requirements., • Assist with tracking documentation for enrollment attendance, medical and allergy forms, and other required records in coordination with the Operations Manager., • Assist in preparation and submission of student attendance, reports or documents as requested for licensing, enrollment, or internal record-keeping., • Provide administrative assistance with scheduling, event preparation, and communication needs to ensure smooth daily operations.Inventory, Ordering, and Vendor Support, • Monitor supply levels for the ELC kitchen, classrooms and ELC office. Coordinate ordering of materials, following established purchasing procedures., • Track deliveries, collect invoices, and keep supply and storage areas organized., • Communicate with vendors and the Operations Manager to ensure timely ordering and restocking.Family and Educator Support, • Provide courteous and professional assistance to families and educators with questions, forms, and general information., • Maintain confidentiality and professionalism in all interactions., • Support school events and family programs through coordination, preparation, and communication.Team and Program Support, • Participate in regular check-ins with the Operations Manager to stay informed and aligned with school priorities., • Assist with classroom logistics or program needs as assigned., • Contribute to the positive, mission-aligned culture of the Early Learning Center through dependability, collaboration, and professionalism. Requirements Education and Experience: High school diploma required; some college coursework preferred. Minimum of two years in an administrative or office support role, ideally in a school or child-focused setting. Equivalent combination of education and experience may be substituted at the JCC’s discretion to meet this minimum hiring criteria. Skills and Competencies: · Strong organizational skills and attention to detail. · Professional presence. · Ability to multitask and prioritize in a fast-paced environment. · Professional communication skills, both written and verbal. · Positive, flexible, and approachable demeanor. · Proficiency in Microsoft Office Suite; willingness to learn internal systems (e.g., Kaymbu, Teams, Traction Rec etc.). · Commitment to confidentiality, reliability, and teamwork. Physical Requirements: This position requires work to be performed on-site/in-person. Core hours are scheduled; flexibility is occasionally required to meet office coverage needs. The role requires professionalism, adaptability, and the ability to work in a fast-paced, child-centered environment. Physical activity such as bending, reaching, lifting, and carrying up to 30 lbs. may be needed. Requires flexibility with occasional local travel and some evening or weekend work needed.
