Job Description Administrative Assistant Reports To: Chief Executive Officer Salary: $37,440 - $54,080 annual Position Range: D Position Overview: The Administrative Assistant provides high-level administrative and office management support to the Chief Executive Officer. The position maintains critical operational duties associated with CHA properties and voucher programs as it relates to terminations and hearings. This role requires exceptional organization, discretion with confidential information, strong communication skills, and advanced computer proficiency. Responsibilities include coordinating meetings and hearings, preparing correspondence, tracking terminations and reports, maintaining records and reference materials, and supporting project-based work across operational and housing program activities. Key Responsibilities: • Provide daily administrative support to the Chief Executive Officer., • Schedule, organize, and coordinate informal and formal hearings; prepare agendas and materials; record and transcribe minutes as assigned., • Prepare and proofread correspondence, reports, forms, and presentations; ensure accuracy, completeness, and professional quality., • Maintain and update reference materials and plans and other internal manuals as assigned., • Maintain established files, logs, and records (including termination and court logs) in accordance with CHA procedures and retention requirements., • Serve as primary point of contact with 3rd party legal firm conducting unlawful detainers and evictions., • Directly support the coordination and organization of Resident Advisory Board Meetings including location, meeting notice, minutes and meeting materials., • Oversee the delivery of board meeting packets, as well as ensure the proper storage of board meeting minutes and resolutions., • Serve as back up to reception during breaks, lunch breaks and absences, and serve as lead administrative staff for front desk operations., • Knowledge of office management practices, recordkeeping, filing systems, and basic arithmetic., • Strong command of written English, including grammar, spelling, and composition., • Excellent verbal and written communication skills; ability to prepare clear, concise, and accurate correspondence and reports., • Ability to interpret and explain Housing Authority policies, procedures, and housing program requirements to staff and the public., • Advanced organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail., • Proficiency with standard office software and equipment; ability to learn new software applications., • Ability to work independently with minimal supervision while also contributing effectively in a team environment., • Strong interpersonal skills and ability to establish and maintain effective working relationships with diverse populations, including families, older adults, and people with disabilities., • Professional judgment, tact, and discretion when handling confidential or sensitive information., • Required: High school diploma or equivalent., • Preferred: Degree and/or combination of training and experience in business administration, office management, or a related field, and project experience. Special Requirements • Must be bondable and insurable., • Must possess and maintain a valid Missouri driver's license with an acceptable driving record., • Must be willing to travel overnight for training or conferences as directed., • Must be able to attend evening meetings as required., • Must maintain a bank account for direct payroll deposit., • Must pass pre-employment drug screening and background checks.
