BASIC PURPOSE: The Business Services Coordinator is responsible for a variety of complex, confidential administrative duties. The role is responsible for the day-to-day operations of the front desk and reception/concierge staff. As Business Services Coordinator, you will oversee hiring, training, disciplinary actions, and dismissing staff members. M AJOR WORK ACTIVITIES: • Lead the reception/concierge team in providing excellent customer service to all residents, guests, and fellow coworkers., • Manage day-to-day operations of the front desk including opening and closing procedures, staff behavior, and customer intake procedures., • Interview, hire, and train reception staff in procedure and policy procedures and customer service expectations., • Schedule staff to ensure adequate coverage for the front desk., • Operates telephone switchboard, directs calls appropriately, and takes messages. Enter work orders if needed., • Greets and directs visitors and residents; answers their questions to the best of their ability., • Resolve customer complaints and provide solutions to staff disputes., • Maintains resident census, resident directory, business files, call bell system, phone lists, etc..., • Follows reception area procedures during fire alarms., • Responsible for ordering and receiving office supplies including supplies for other office equipment., • Responsible for front desk petty cash box., • Performs clerical duties as needed., • Perform other duties and responsibilities as assigned. Requirements: KNOWLEDGE, SKILLS WORKING CONDITIONS: • Works in a well-lighted environment with exposure to moisture, heat, cold, odors, equipment, chemicals, etc., • Physical exertion is required. Intermittent lifting, pushing, and carrying objects up to 50 pounds. Physical exertion is also described as standing, kneeling, and bending., • Minimal exposure to infectious diseases., • Must be able to multitask and have strong organizational and time management skills., • Must be able to operate all types of office equipment., • Must be able to use a computer, having both word processing and spreadsheet skills. Education: Associated Degree or equivalent training with at least 2 years of previous experience. Must possess strong written and interpersonal skills. Licensure/ Certification: Experience: Must have strong computer skills. Proficiency with Microsoft Office and other computer applications. Ability to read, write, and communicate effectively in English. • Excellent time management skills and ability to multi-task and stay organized. • Able to work weekends and holidays as needed. Previous experience working with seniors is strongly preferred. An equivalent combination of education and experience may be considered.
