This Billing Administrator position, located in our Los Angeles office, is responsible for managing the billing process to customers and supporting a senior agent working within our live touring / music division. This person will work closely with high-performing logistics teams to track project costs, manage customer invoicing across multiple projects, and coordinate with Finance and Accounting on vendor payment prioritization. The ideal candidate will bring an operation-focused mindset, strong analytical skills, and the ability to manage complexity in a fast-paced, client-facing environment while ensuring that billing is clear, consistent, and aligned with contractual obligations and internal controls. Location: Los Angeles, 4 Days in Office/Week, 1 Day Hybrid Work Schedule: Schedule fluctuates based on workloads (Core hours 9AM-5PM) Salary: $70,000.00- $85,000.00 Annually Key Responsibilities: • Serve as the primary liaison between Operations, Accounting (AR/AP), and Finance to ensure accurate and timely billing and payment processes, • Support high-performing teams on large-scale live event projects by entering vendor costs, preparing draft customer invoices, and ensuring alignment with budgets and contracts, • Review and process billing details from complex email communications; verify proper documentation and approvals are in place for client invoicing, • Track and reconcile billed charges against purchase orders, project budgets, and contractual terms, • Monitor outstanding vendor invoices and coordinate with Accounts Payable to ensure timely disbursements, • Ensure prompt customer invoicing in line with company guidelines and maintain billing accuracy across all stakeholders, • Respond to billing inquiries from internal teams and external clients, ensuring issues are resolved efficiently, • Maintain organized billing records and audit trails in compliance with company policy and accounting standards, • Assist with financial reporting, reconciliations, and ad hoc research to support project managers and Finance, • Create and manage Smartsheet project dashboards to monitor billing activity and project status, • Bachelor’s degree in Accounting, Finance, Business, or a related field, • At least 3-5 years of professional experience in billing, accounts payable/receivable, or operations (internship experience qualifies), • Strong analytical and numerical skills with excellent attention to detail, • High proficiency in Microsoft Excel; strong skills in Outlook and Word, • Exceptional written and verbal communication skills, • Strong organizational and time management abilities, with the capacity to prioritize and handle time-sensitive tasks, • Ability to work independently and collaboratively across multiple teams with wide-ranging personalities, • Professionalism and discretion when interacting with internal and external stakeholders, • Experience working in a high-volume, operationally complex environment, preferably within entertainment or events, • Familiarity with NetSuite or similar ERP systems, • Proficiency with Smartsheet and Smartsheet Apps, • Process-oriented with a mindset for continuous improvement, • Customer service mindset and ability to navigate complex client interactions, • Comfortable managing multiple concurrent priorities in a fast-paced, dynamic setting What GCL Will Offer You: A growing logistics firm backed by an award-winning global parent company within the entertainment and luxury import/export logistics industry providing unrivaled experience and expertise for live events, touring, sports, luxury auto and art freight forwarding.
