Potential applicants can familiarize themselves with our collection of businesses at , , , , and IMPORTANT: Position is located at 185 Bosstick Blvd. San Marcos, CA 92069 and the position requires in office presence consistently Job Summary Provide overall administrative support to the COO including supporting meeting preparation and execution, scheduling and coordination between team members, and other general administrative needs. Help to prioritize, track progress, and ensure timely completion of projects and related tasks to keep operations efficient and organized. Primary Responsibilities • Provide overall administrative support to the COO including supporting meeting preparation and execution, scheduling and coordination between team members, and other general administrative needs - 30%, • Handle organizational and special projects including researching, coordinating timelines, and ensuring a smooth execution of each project-related task, addressing any issues that arise in a timely and effective manner with minimal oversight. Help to prioritize, track progress, and ensure timely completion of organizational projects and related tasks - 25%, • Support procurement processes, inventory management, and vendor coordination. Maintain organized documentation of operational procedures, invoices, and records. Assist in onboarding new employees by ensuring operational tools and resources are ready. Handle data entry and reconciliation of operation-related tasks - 15%, • Help track and report various operational metrics including service performance metrics, KPIs, and other required data for leadership meetings. Identify process inefficiencies and propose improvements. - 10%, • Support the processing of orders, data entry, and interact with internal and external customers, as needed - 10%, • Collaborate with departments such as Finance, HR, Sales, and Production to support cross-functional needs. Provide confidential administrative support to leadership, as assigned. - 5% Minimum Requirements Education - High school diploma or GED Experience - 1-3 years of administrative or operations experience, specifically working with executive level leaders Knowledge, Skills, Abilities • Strong working knowledge of how to utilize and leverage Google Suite and Microsoft Office tools, • Skilled in effective prioritization, scheduling, and execution of tasks where there are competing priorities, • Skilled in professional written and oral communication, • Strong sense of professionalism with exceptional work ethic and discretion in handling confidential materials and issues, • Skilled in developing and maintaining interpersonal working relationships with internal and external stakeholders including executive leaders, • Acute attention to accuracy and detail in every aspect of day-to-day responsibilities, • Comfortability with numbers and ability to execute data analysis, • Ability to prepare executive level presentations, • Ability to work well with all team members in a fast-paced, time-sensitive environment, • Ability to proactively anticipate needs and react efficiently, confidently, and independently when quick decisions are needed, • Passion for learning new things, continuous improvement, and sharing best practices, • Flexibility in schedule to pivot to the needs of the company, • Reliable transportation and a valid driver’s license Education - Bachelor’s Degree in Business, Operations, or related field Physical Demands This position has prolonged sitting at a desk in front of a computer. Occasional bending, reaching, and stooping. Must be able to lift 15 pounds.
