Job Overview The Receptionist is the first point of contact for employees, candidates, customers, and vendors. This role provides front-desk coverage, visitor management, workplace support, and light administrative coordination to ensure a safe, welcoming, and well-run office environment. The Receptionist partners closely with Workplace, Facilities, IT, Security, and People Ops to support daily operations and escalations.Responsibilities • Greet and check in visitors, candidates, and vendors; ensure a professional, hospitality-forward experience, • Manage lobby readiness (cleanliness, signage, supplies, and overall appearance), • Answer and route inquiries via phone, email, and Slack; respond or triage requests appropriately, • Own the visitor management process (pre-registration, ID verification as required, badge issuance, NDA or visitor paperwork if applicable), • Coordinate with Security on access, escort requirements, restricted areas, and incident escalation, • Maintain visitor logs and ensure compliance with onsite security protocols, • Support Workplace with day-to-day office needs (basic supplies restock, conference room readiness, signage updates), • Assist with onboarding and offboarding logistics (badges, basic orientation directions, workspace readiness coordination), • Support meeting and event set-up coordination (basic furniture moves, catering drop-off coordination, room resets), • Coordinate vendor arrivals and access; confirm scope timing with Facilities/Workplace, • Submit or support tickets for issues surfaced at the front desk, • Maintain updated front desk SOPs, contact lists, and quick reference guides in Confluence, • Track recurring issues and share trends with Workplace/Facilities to drive improvements, • Support light administrative tasks as needed (purchase requests, basic data entry, badge inventory), • Maintain front desk supplies, lobby standards, room readinessQualifications, • 2+ years in a receptionist, office coordinator, hospitality, or customer-facing operations role, • Strong communication skills (written and verbal) with a high degree of professionalism and discretion, • Comfort working with ticketing and request tools and Microsoft Office, • Strong organization, time management, and ability to triage multiple priorities in a fast-moving environment, • Experience in a high-growth tech or manufacturing environment with elevated security requirements, • Familiarity with visitor management tools (Envoy) and ticketing systems, • Experience supporting events, onsite meetings, or executive and candidate visits, • Hospitality mindset: warm, proactive, and solutions oriented, • Operational rigor: dependable follow-through, strong attention to detail, consistent execution, • Sound judgment knows when to escalate and how to handle sensitive situations appropriately, • Cross-functional collaboration works well with Workplace, Facilities, IT, Security, and People Ops, • Onsite role will require front desk coverage during business hours (schedule determined by site needs), • May require occasional early and late coverage for candidate days, executive visits, or events, • Maintain visitor check-in accuracy and compliancePhysical Demands, • Prolonged periods of sitting at a desk and working on a computer, • Occasional standing and walking within the office, • Manual dexterity to operate a computer keyboard, mouse, and other office equipment, • Visual acuity to read screens, documents, and reports, • Occasional reaching, bending, or stooping to access file drawers, cabinets, or office supplies
