Job Description Job Title: Legal Secretary Location: Phoenix, AZ 85012 Salary/Payrate: $57K-$95K Work Environment: On-Site Term: Fulltime Bachelor’s degree required: No Referral Fee: AMS will pay $500 should the person you refer gets hired Job Description: We are seeking an experienced and detail-oriented Legal Secretary to provide comprehensive administrative and litigation support to attorneys and legal professionals. The successful candidate will be responsible for preparing, organizing, reviewing, filing, and maintaining a wide range of legal materials and records while coordinating schedules, travel, billing activities, and other day-to-day operational needs. The ideal candidate will possess strong knowledge of legal terminology and litigation practices, exceptional organizational abilities, and a demonstrated capacity to manage competing priorities in a demanding professional environment. Responsibilities: • Prepare, format, revise, proofread, and finalize briefs, pleadings, correspondence, legal memoranda, and other documents in accordance with professional and court requirements., • File pleadings, motions, correspondence, and other legal materials with state and federal courts, utilizing electronic filing systems when applicable; prior e-filing experience is strongly preferred., • Thoroughly proofread and meticulously review documents for accuracy, consistency, completeness, formatting, and typographical errors prior to circulation, submission, or court filing., • Establish, organize, update, and maintain accurate client files, case records, and related documentation., • Coordinate and administer attorney calendars through Microsoft Outlook and Aderant Milana, including arranging meetings and appointments, monitoring schedules, and recording litigation deadlines and important dates., • Arrange, coordinate, and confirm business travel, transportation, lodging, itineraries, and other travel-related requirements for designated attorneys., • Enter, examine, correct, and modify timekeeper billing entries with precision, including the appropriate and consistent application of litigation task and activity codes when required., • Compile and submit attorney expense reports, reimbursement requests, mileage claims, and related supporting documentation., • Examine vendor statements and invoices for completeness and accuracy; prepare payment or check requests and promptly route invoices to clients or the Accounting Department for processing and settlement., • Assist with the timely preparation, examination, reconciliation, and submission of prebills and client billing statements., • Provide dependable administrative and clerical assistance while maintaining confidentiality, professionalism, accuracy, and responsiveness in all interactions and assignments. Qualifications/Requirements: • High school diploma, GED, or equivalent educational credential required; associate’s or bachelor’s degree or other college-level education preferred., • At least five years of professional experience working as a legal secretary or comparable legal administrative professional required, preferably within a litigation-focused law firm or legal practice., • Familiarity with LexisNexis, PACER, ECF, and Aderant Milana strongly preferred., • Comprehensive understanding of legal terminology, legal documentation, court filings, litigation processes, and standard legal office procedures., • Demonstrated expertise in creating, formatting, revising, and maintaining tables of contents and tables of authorities., • Advanced proficiency with Microsoft Office applications, including Microsoft Word, Excel, PowerPoint, and Outlook., • Practical experience using document-management platforms, electronic timekeeping and billing applications, electronic court-filing systems, legal research databases, and other specialized legal technology., • Exceptional organizational and time-management capabilities, with meticulous attention to detail and the ability to effectively coordinate numerous assignments, projects, priorities, and deadlines simultaneously., • Excellent written, verbal, interpersonal, and professional communication skills., • Proven ability to work autonomously with minimal supervision while also contributing effectively within a collaborative, team-oriented, and high-volume professional setting., • Ability to exercise sound judgment, maintain discretion and confidentiality, adapt to shifting priorities, and consistently produce accurate, timely, and high-quality work.
