Job Description Position Summary: The Community Resource Center (CRC) Receptionist serves as the first point of contact for visitors, members, and partners, providing a warm, welcoming, and professional environment. This role is responsible for answering, screening, and directing phone calls; scheduling appointments; receiving mail and deliveries; and performing administrative and clerical duties. The Receptionist must be bilingual in English and Haitian Creole or Spanish to effectively communicate with the diverse community served and provide interpretation support when needed. The role requires proactive engagement with visitors and team members, demonstrating professionalism, respect, and collaboration to maintain positive and supportive environment. Essential Duties and Responsibilities: • Greet and welcome guests warmly and professionally upon arrival, whenever possible stepping away from behind the receptionist desk to engage visitors using professional, welcoming communication and body language., • Maintain reliable and punctual attendance consistent with operational needs and organizational attendance standards., • Direct visitors to the appropriate staff member efficiently and courteously., • Proactively engage visitors in the lobby area, offering assistance, information, and resources, and provide clear assistance and information to support visitor needs., • Answer, screen, and forward incoming phone calls promptly, taking accurate messages and scheduling appointments as needed for CHOA and CRC Manager/Leadership team., • Maintain accurate visitor logs for tracking and data purposes, • Responding to all customer inquires in a polite and timely manner (in-person, phone and email) politely, providing clear, accurate, and helpful information in both English and Creole or Spanish., • Ensure reception area is tidy and presentable, with all necessary stationery and material, • Provide basic and accurate information through the “Contact Us” email page, monitoring and responding to messages daily., • Receive, sort, and distribute daily mail/deliveries, • Assist office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, etc.)., • Support team communications by managing shared calendars, important memos, and team channels., • Maintain confidentiality and professionalism at all times, demonstrate respectful communication and cultural awareness when interacting with diverse populations., • Collaborate professional with team members and communicate respectfully to support a productive work environment. Qualifications: • High School Diploma or GED, • Must be 18 years or older, • 1 year of working experience as a receptionist, front office representative or similar role, • Bilingual Required (English, Spanish and/or Creole), • Maintains a professional appearance and communicates courteously with visitors and staff., • Solid written and verbal communication skills., • Proficiency in Microsoft Office Suite., • Ability to be resourceful and proactive when issues arise., • Excellent organizational skills., • Multitasking and time-management skills, with the ability to prioritize tasks., • Engages visitors using professional eye contact, attentive listening and welcoming body language., • Demonstrates empathy and professionalism when interacting with visitors and team members, • Demonstrates cultural awareness and provides respectful service to individuals from diverse backgrounds., • Collaborates effectively with team members and contributes to a respectful workplace.
