Job Description Job Title: Administrative Assistant Position Summary: The Administrative Assistant will provide vital support to the Practice Administrator, Human Resource Generalist, and mid-level management team. This role is responsible for assisting with day-to-day administrative, financial, and operational tasks to ensure the smooth functioning of the practice. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities while maintaining professionalism and confidentiality. While this is designed as a full-time role, internship opportunities will also be considered for qualified candidates seeking experience in healthcare administration. Key Responsibilities: • Provide direct administrative support to the Practice Administrator, Human Resource Generalist, and management team., • Manage ordering and restocking of office and clinical supplies, ensuring accurate inventory tracking., • Enter invoices into QuickBooks and assist with accounts payable functions., • Coordinate meetings, interviews, and company events, including scheduling, logistics, and preparation of necessary materials., • Create and maintain spreadsheets, reports, and project documentation as needed., • Support HR functions such as interview scheduling, candidate communication, and onboarding preparation., • Perform general office tasks including filing, scanning, data entry, and document organization., • Act as a point of contact for staff inquiries and assist with internal communication., • Associate’s degree or equivalent administrative experience required (current students in relevant programs will be considered for internship opportunities)., • Prior experience in an administrative assistant or office support role (healthcare setting a plus)., • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) with strong spreadsheet and organizational skills., • Experience with QuickBooks or similar accounting software preferred., • Excellent written and verbal communication skills., • Ability to manage multiple projects and deadlines in a fast-paced environment., • Office-based position with collaboration across multiple departments and practice locations., • Role requires flexibility, adaptability, and the ability to support various business functions.
