Job Description The Episcopal Diocese of Texas Position Description Position Title: Executive Assistant & Project Coordinator to the Chief Operating Officer Department: Operations Reports to: Chief Operating Officer (COO) FLSA Status: Exempt Position Summary The Episcopal Diocese of Texas seeks a full-time Executive Assistant and Project Coordinator to the Chief Operating Officer (COO). This role provides high-level executive, project, and operational support to advance the Bishop’s vision as operationalized by the COO. Serving as a strategic partner and trusted liaison, the position coordinates priorities, initiatives, and communications across diocesan leadership, internal teams, task forces, and external partners. The ideal candidate is highly organized, anticipatory, and mission-driven, with the ability to manage complexity, maintain momentum across multiple initiatives, and support executive leadership in a dynamic, faith-centered environment. This individual is proactive, tech-savvy, and comfortable using digital tools and project management software, bringing creativity and continuous improvement mindset to streamline and strengthen workflows. Primary Responsibilities • Support the COO in translating strategic priorities into actional project plans., • Coordinate and track strategic initiative, task forces, and cross-functional projects., • Develop project plans, schedules, and status reports; monitor progress and escalate risks or issues as needed., • Assist in preparing departmental reports, project plans, and documentation., • Help ensure alignment across departments supporting Communications, IT, and Human Resources initiative., • Provide comprehensive administrative support to the COO, including calendar management, meeting coordination, travel arrangements, and expense reporting., • Assist with preparing updates and reports for the COO., • Serve as a primary point of contact between executives and internal/external stakeholders, exercising professionalism and confidentiality., • Maintain project documentation, files, and records to ensure accuracy and accessibility., • Process credit card receipts and reimbursements as needed., • Respond promptly and professionally to emails, phone calls, and digital correspondence., • Prepare, edit, and maintain digital and paper records, files, and confidential documents., • Anticipate needs and recommend improvements to processes, workflows, and systems to improve efficiency., • Support team meetings, track action items, and assist with follow-up., • Demonstrated alignment with and embodiment of EDOT Staff Core Values, • Proven ability to handle confidential information with discretion and sound judgment, • Ability to develop healthy, positive relationships with a diverse set of diocesan stakeholders, including staff, clergy, parish leaders and board members, • Exceptional organizational and administrative skills, with the ability to manage multiple priorities and deadlines., • Advanced computer proficiency: Microsoft Office Suite, Outlook, and shared cloud platforms (e.g., Slack, SharePoint, etc.)., • Experience with project management tools (e.g., Asana, Trello, Monday, or similar) strongly preferred., • Ability to identify and implement new systems or workflows to increase efficiency., • Personable and professional in person, on the phone, in digital communications., • Strong written and verbal communication skills., • Knowledge of, or willingness to learn, Episcopal Church structures and communication protocols., • High emotional intelligence with the ability to navigate complexity, ambiguity, and diverse relationships., • Bachelor’s degree or equivalent combination of education and experience., • 3–7 years of experience as an Executive Assistant, Project Coordinator, or similar role supporting senior leadership., • Demonstrated expertise in computer systems, digital platforms, and online collaboration tools., • Physical demands: While performing the duties of this job, the employee is often required to walk, sit, use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms, talk and hear. Employees must occasionally lift and /or move up to 15 pounds. Specific vision abilities required by the job include close visions, distance visions, color vision, peripheral vision, depth perception, and the ability to adjust focus., • Work environment: while performing the duties of this job, the employee is exposed to weather conditions prevalent at the time.
