ROLE The Real Estate Operations Manager owns the systems, workflows, and day-to-day operation of I Buy RIC, a real estate investment company in Richmond, Virginia. We buy houses directly from sellers across Central Virginia, off-market, and give every house the exit that fits it best — renovate and resell, rent, sell to an investor, or take it to the retail market. This role exists to run the entire operation — deals, books, calendar, office — so the owner can focus on growing the company. You are responsible for every transaction from signed contract to closing table, for coordinating payroll and bill pay, for the office itself — and for clearing everything out of the owner's way so he never has to slow down. You work directly with the owner and touch every part of the business. This is a hands-on builder role. You will build systems where none exist and sharpen the ones that do — increasingly with AI doing work a person used to. You are building the operation, not maintaining a finished one. RESPONSIBILITIES • Coordinate every transaction from signed contract to closing table, clearing obstacles before they cost time, • Keep deals alive by chasing title, lenders, paperwork, and people until the file closes, • Keep sellers informed and at ease from contract to close. No surprises, no silence, • Manage the owner's calendar and inbox, and take work off his plate before being asked, • Build and run the systems, checklists, and KPIs that keep the business moving, • Coordinate bill pay and payroll with our payroll provider, and work with our outsourced bookkeeper so every transaction lands where it should, • Handle office logistics, supplies, and vendors, • Coordinate team events, celebrations, and new-hire onboarding, • Identify the work AI can do better or faster than a person, and put AI on it REQUIREMENTS • 3+ years in operations, executive support, or real estate transaction coordination where you owned the outcome, • Real fluency with AI tools and a habit of putting them to work, • Sharp judgment, elite organization, and communication that works with sellers, agents, title companies, and lenders, • Google Workspace proficiency Preferred, not required: • An active Virginia real estate license — if you don't have one, we'll pay for you to get it, • QuickBooks and CRM experience, • A real estate background of any kind — transactions, title, lending, property management, or investing RESULTS • Deals move from contract to close without stalls; obstacles are cleared before they cost time, • Transaction files are complete, accurate, and compliant from contract to close, • KPIs and reporting are accurate and current, • Sellers consistently leave five-star reviews, • The owner's calendar, inbox, and day-to-day operations run without his involvement, • The books are clean, and every transaction is where it belongs, • A growing share of routine work is automated each quarter SCHEDULE • Full-time, • Standard business hours with flexibility based on business needs LOCATION Hybrid, based in Central Virginia. You need to live here or relocate here. When we open a Richmond office — projected in the next 6–12 months — this role goes in-office full time. COMPENSATION $75,000–$90,000 base salary plus bonus. The range reflects multiple levels at which this role could be filled. Final salary will be based on relevant prior experience, skills, and expertise.
