We are looking for an immediate opening for a legal receptionist/administrativeassistant. Position Summary Sloat, Nicholson & Hoover, P.C. isseekinga highly organized and detail-oriented Legal Assistant Lien Management to support our personal injury practice. This position plays a critical role in the successful resolution of personal injury cases byidentifying, tracking, managing, andmaintainingaccuratelien information throughout the life of each case. The Legal Assistant works closely with attorneys, paralegals, and the Office Manager to ensure lien information isaccuratefor claim valuation, settlement negotiations, and preparation of settlement disbursements. In addition to lien management, this position provides general legal and administrative support to the firm's attorneys and staff. This is an in-office position requiring daily collaboration with attorneys, paralegals, the Office Manager, and other staff members. All time worked must be entered by client file. Administrative work not associated with a client file should be entered as General Office. Primary Responsibilities Lien Management The primary responsibility of this position is managing alllien-related matters for active personal injury cases. Responsibilities include: Lien Identification & Administration • Send Notices of Representation to health insurers, governmental entities, medical providers, finance companies, subrogation companies, and other lienholders., • Identifyall potentialliensassociated with a client's claim., • Request and obtain lien balances, itemized statements, payoff information, and satisfaction letters., • Follow up with lienholders when responses are nottimelyreceived., • Prepare andmaintainwrittenlien summaries for each client file., • Update lien summaries whenever information changes and provide updated copies to the Office Manager., • Maintain accurate lien information in the firms case management system, • Maintaining complete electronic records withinthe firms case management systemand the firm's shared drive, • Review incoming mail, email, and faxes forlien-related correspondence., • Communicate with insurance companies, recoveryagents, medical providers, finance companies, andgovernmentalagencies., • Conduct monthly reviews of all active files to ensure lien balancesremaincurrent., • Track attorney and paralegal lien negotiations., • Document all updates inthe firms case management systemand litigation notes., • Answering and directing telephone calls while providing excellent customer service to clients, visitors, vendors, and other contacts., • Drafting routine correspondence, legal forms, and other case-related documents., • Scheduling appointments, mediations, depositions, client conferences, and other meetings., • Opening, organizing, andmaintainingpaper and electronic client files, including saving emails, medical records, bills, pleadings, correspondence, and other documents in the firm's case management system., • Requesting, organizing, and reviewing medical records and billing statements., • Assistingwith the preparation of demand packages, mediations, and trial materials, including exhibits and binders., • Preparing and processing outgoing mail, certified mail, overnight deliveries, and electronic correspondence., • Performing general administrative duties, including scanning, copying, filing, shredding, andmaintainingaccuratecase notes andtimeentries., • Communicating professionally with clients, insurance adjusters, medical providers, opposing counsel, and other third parties., • Maintaining an organized, professional office environment and performing occasional office errands as needed. Qualifications Preferred qualifications include: • Prior experience as a Legal Assistant, Administrative Assistant, Medical Records Specialist, or similarlawoffice support role., • Personal injury experience is preferred but notrequired., • Strong organizational and time management skills., • Exceptional attention to detail., • Excellent written and verbal communication skills., • Ability to prioritize multiple projects while meeting deadlines., • Professional telephone and client service skills., • Proficiencywith Microsoft Office (Word, Outlook, Excel) and Adobe Acrobat., • Experience with Filevine or other legal case management software is a plus., • Ability to work independently while collaborating effectively with a team., • A positive attitude, professionalism, and commitment to outstanding client service.
