Job DescriptionKey Personnel is seeking an Office Authorization Specialist to join a growing healthcare practice in the Tulsa, OK area.Office Authorization Specialist Pay: $17.00 - $19.50/hour DOEOffice Authorization Specialist Hours: Monday - Friday 8am-5pm Office Authorization Specialist Summary:The Office Authorization Specialist plays a critical role in supporting patient care by obtaining insurance authorizations, verifying benefits, and ensuring all required documentation is completed prior to office visits, procedures, and surgeries. This position works closely with providers, clinical staff, insurance companies, and patients to facilitate timely approvals while maintaining accuracy, confidentiality, and exceptional customer service. The ideal candidate is detail-oriented, organized, and experienced in navigating insurance portals and electronic medical record systems. Office Authorization Specialist Responsibilities: • Review patient charts to ensure all clinical documentation required for insurance authorization is complete., • Obtain prior authorizations and referrals for office visits, procedures, surgeries, and other medical services., • Verify patient insurance benefits, deductibles, co-insurance, out-of-pocket maximums, and coverage eligibility., • Contact insurance companies by phone and through online payer portals to obtain authorizations and benefit information., • Collect patient deductibles, co-payments, and out-of-pocket amounts prior to scheduled procedures or surgeries., • Communicate authorization status, benefit information, and financial responsibilities to patients and clinical staff., • Maintain accurate documentation of authorization requests, approvals, denials, and follow-up activities within the Electronic Medical Record (EMR) system., • Monitor authorization requests to ensure approvals are received prior to scheduled appointments and procedures., • Collaborate with physicians, medical assistants, surgery schedulers, and billing staff to resolve authorization issues., • Maintain patient confidentiality while adhering to HIPAA regulations and organizational policies., • Perform additional administrative and insurance verification duties as assigned.Office Authorization Specialist Qualifications:, • Minimum of two (2) years of medical insurance authorization, referral, or insurance verification experience required., • Strong understanding of insurance authorization processes, referrals, and benefit verification., • Experience navigating commercial insurance, Medicare, Medicaid, and payer websites., • Proficiency with Electronic Medical Record (EMR) systems., • Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook)., • Excellent verbal and written communication skills., • Strong attention to detail with exceptional organizational and time management abilities., • Ability to prioritize multiple tasks while meeting deadlines in a fast-paced medical office., • Ability to work independently while also collaborating effectively with a healthcare team., • Professional demeanor with a strong commitment to patient service and confidentiality.Office Authorization Specialist Preferred Skills:, • Previous experience in a specialty medical practice preferred., • Knowledge of CPT, ICD-10, and medical terminology is a plus., • Experience working with multiple insurance carriers and payer portals., • Familiarity with surgery scheduling and procedure authorizations preferred.Physical Requirements/Work Environment:, • Work is performed primarily in a professional medical office environment., • Ability to sit for extended periods while using a computer and telephone., • Frequent use of computers, EMR systems, and other office equipment., • Occasional standing, walking, bending, and lifting up to 25 pounds., • Ability to maintain focus and accuracy while managing multiple priorities.
