Job Description Medical Office Receptionist Skills and Qualifications: Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Attention to Detail, Scheduling, Word Processing, Professionalism, Quality Focus Summary Responsible for handling front office reception and administration duties, including serving patients by greeting them with a smile and being polite while helping them; scheduling appointments; Verifying Insurance, maintaining records and accounts, answering phones, handling company inquiries, Authorizations, and distributing mail. Primary responsibilities • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone., • Responds to patients', prospective patients, and visitor inquiries in a courteous manner., • Answer in coming phone calls while maintaining a polite, consistent phone manner using proper telephone etiquette, (NORTH HOUSTON RENAL CONSULTANTS THIS IS ________ SPEAKING HOW May I HELP YOU?). transfer phone calls and /or take message then give to appropriate person, • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone., • Keeps patient appointments on schedule by notifying the provider of the patient's arrival., • Comforts patients by anticipating patients' anxieties; answering patients' questions and inquires; maintaining the reception area., • Ensures availability of treatment information by filing and retrieving patient records. Making sure everything needed for patient visits is on hand (referral, labs, test results etc.) Referral & Authorizations on file for new patients that need a referral. If not, call the physician's office and request one before the patient comes in. Labs or test results are in patient doc for new patients as well as follow up visits from hospitals., • Registers new patients along with maintaining and updating existing patient demographics & insurance information. Collecting detailed patient information including mailing address, telephone number and financial responsibility for obtaining patient accounts., • Obtains revenue by recording and updating financial information; recording and collecting patient charges; controlling credit extended to patients; filing, collecting, and expediting third-party claims., • Maintains business office inventory and equipment by checking stock to determine inventory level; (does fax/copy machine need paper) anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs., • Helps patients in distress by responding to emergencies., • Protects patients' rights and confidentiality by maintaining confidentiality of personal and financial information by making sure protected health information is secured and not left in plain sight and logging off the computer before leaving it., • Maintains operations by following policies and procedures, reporting needed changes., • Contributes to team effort by accomplishing related results as needed. If you have nothing to do, see if you can help in the office with anything., • Verify appointments for the next day in advance., • Checking patients in collecting co-pays and outstanding balances., • Checking patients out and scheduling follow up appointments, • Verify insurance and benefits for next day appointments., • Scan driver license and insurance information into patient doc EMR and any other information patient may have for appointment (REFERRAL, LABS AND ANY OTHER TEST RESULTS)., • Do authorizations and referrals, when required., • Send out medical records that are requested. (Make sure charts are locked and signed off before sending any medical Records.), • Help get physician signatures for home health orders, DME and diabetic testing supplies, only if our physicians ordered, otherwise send orders to that Patient's PCP., • Help check faxes daily, put into patient docs and distribute out to the correct person., • Rotate driving to secondary office on Tuesday & Wednesday afternoons., • Record total money collected at the end of the day., • Most importantly, remember to work as a team player.
