This critical role provides direct and confidential support to the Chief Executive Officer, serving as the primary point of contact for internal and external stakeholders. You’ll manage schedules, coordinate communications, support board and leadership operations, and ensure the CEO is informed, prepared, and positioned to lead effectively. Additionally, this position performs duties as a Contract Liaison responsible for facilitating communication, collaboration, and compliance between internal teams and external vendors or contractors regarding contracts. This role may be structured as full-time (40 hours/week) or part-time (minimum 24 hours/week) based on your availability and experience. Qualifications: • Bachelor's Degree required., • Strong work tenure: five (5) to ten (10) years of experience supporting C-Level executives, preferably in a non-profit organization., • Discretion and Confidentiality: Handle sensitive information with discretion and professionalism., • Ability to Work Independently and as Part of a Team: Take initiative, work autonomously, and collaborate effectively with others., • Strong Attention to Detail and Accuracy: Ensure accuracy in all documentation and tasks., • Strong Organizational and Time Management Skills: Prioritize tasks, manage multiple projects, and meet deadlines effectively., • Paralegal Knowledge and Experience: Understanding of legal processes, procedures, and terminology, along with experience in legal research, document management, and case file maintenance, is a plus., • Excellent Communication Skills: Written and verbal communication, interpersonal skills, and the ability to communicate effectively with all levels of the organization. Experience and interest in internal and external communications, partnership development, and fundraising., • Proficiency in Microsoft Office Suite and other relevant software: Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, TEAMS, Zoom, Onboard, and Social Media web platforms., • Maintain knowledge of organizational policies and procedures and federal and state regulations and HRSA elements of performance., • Attend board meetings (one evening per month), record minutes as the official written record of meetings using Robert’s Rules of Order, Newly Revised, and distribute documents as appropriate., • Performs duties as a Contract Liaison responsible for facilitating communication, collaboration, and compliance between internal teams and external vendors or contractors regarding contracts., • Must have adaptability and easily adjust to changing circumstances. An adaptable person in the workplace can keep up with moving priorities, projects, clients, and technology. Skilled at dealing with changes at work, whether process updates, their work environment, or work location., • Develop and maintain a clearly labeled electronic desk manual including current, step-by-step instructions for processes, major functions, tasks, and information related to performing the role of Executive Assistant to the CEO. The required skills such as calendar management and travel arrangements are essential for organizing the executive's time efficiently and ensuring smooth logistics for business travel. Proficiency in Microsoft Office Word and PowerPoint enables the Executive Assistant to create professional documents and presentations that support executive communications. Maintaining calendars and arranging meetings require strong attention to detail and the ability to coordinate with multiple stakeholders to align schedules. General administrative assistance skills are used daily to manage correspondence, file organization, and other office tasks that keep operations running smoothly. Preferred skills, including familiarity with healthcare-specific tools and advanced software capabilities, enhance the assistant's ability to adapt to the unique demands of the healthcare industry and contribute to team collaboration Work Schedule & Conditions • Part-time or Full-time position. Twenty-four (24) hours per week is required.
