Overview Under the supervision of the Reception and Transportation Manager, the receptionist is responsible for managing the switchboard and greeting visitors, residents and staff. Essential Functions • Answers all incoming calls and directs calls to appropriate party or unit. Takes messages as required., • Greets visitors and directs them to the person or area they are visiting and answers general questions from residents and visitors and channels requests to appropriate departments while maintaining confidentiality when necessary., • Directs job applicants to Human Resources Department., • Sorts mail and place it in mailboxes., • Oversees fax area, checks incoming faxes and places them in appropriate boxes, and calls resident/staff when they have a fax., • Assures receptionist area is tidy and welcoming., • Accurately logs incoming packages and notifies residents and staff of incoming packages and arranges for delivery if necessary., • Communicates with transportation department to arrange resident transportation and assist with shuttle services between buildings., • Provides clerical support as directed as necessary including typing, faxing, filing, etc., • Adheres to all security policies and procedures pertaining to front desk security including ensuring all visitors entering are given badges; updates relief personnel as to security issues and new policies; reports all unusual situations to supervisor and/or facility specialist; is aware of building security features and emergency response and calls and reports any safety concerns immediately., • High school diploma or equivalent is required., • 1 year experience in related field is required., • Prior experience working with the geriatric population is preferred., • Must be able to speak, read, and write the English language in an understandable manner., • Must have a strong working knowledge of Microsoft Office applications (e.g., Word, Excel, Outlook, PowerPoint)., • Must be organized, detail-oriented and be able to communicate effectively., • Demonstrates courteous behavior through polite and respectful communication with all co-workers, residents, and visitors., • Professional appearance, customer service or receptionist desk experience is a must., • General knowledge of switchboard operations, emergency call system, typing, filing, office procedures, and equipment., • General knowledge of human relations skills., • Ability to handle a variety of tasks simultaneously., • Ability to focus on task needs and perform intellectual executive functions as related to the functions of the business operation., • Ability to execute intellectual tasks and duties under conditions of high demand and distraction., • Ability to complete the essential functions of the position with or with adaptive personal devices (e.g., hearing aid, corrective lenses)., • Ability to operate equipment and technology required for the position., • Must be able to communicate effectively., • Able to assist with the evacuation of residents under emergency status to the best of their physical ability., • Able to function independently with integrity and work effectively with residents, personnel, and support agencies., • Able to move intermittently throughout the workday., • Able to occasionally push and/or pull a force of up to 7 pounds as relates to file cart., • Able to reach overhead, bend, and occasionally carry or lift up to 25 pounds.
