Receptionist/Administrative Assistant Job Duties: • Greet and register all visitors., • Provide general administrative and clerical support including mailing, scanning, faxing, and copying to management., • Maintain electronic and hard copy filing systems., • Open, sort and distribute incoming correspondence., • Prepare and modify documents including correspondence, reports, drafts, memos, and emails., • Maintain supplies in meeting rooms and kitchen area (e.g.: pens, writing pads, utensils and soda in refrigerator., • Prepare communication equipment for meetings when needed such as Teams/Zoom meetings., • Perform data entry and scan documents., • Schedule and coordinate calendar, meetings, appointments, and travel arrangements for Managers and Executive team, • Assist in resolving any administrative problems., • Run company’s errands to post office, office supply store, etc., • Assist with employee onboarding administrative tasks., • Bolster company morale by assisting with monthly employee events., • Order and maintain office and break room supplies., • Maintains and submits expense reports for department finance cards., • Answer any calls from customers or vendors regarding their inquiries., • Assist with maintenance of information pertaining to customers, orders, and approved programs., • Support accounting department on various tasks., • Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions., • 2+ years of direct administrative support experience., • Proficiency in MS Word, MS Power Point, MS Excel, and MS Outlook necessary., • Knowledge of operating standard office equipment., • Excellent written and verbal communication skills., • Ability to prioritize projects and strong critical thinking skills., • Good research skills and attention to detail., • Collaborator with good analytical skills and problem-solving ability., • Strong organizational skills, diligence, and ability to multitask.
