About the Role We’re seeking an energetic and organized Event and Field Marketing Coordinator ready to work evenings and weekends to bring our brand to life in the communities we serve. In this role, you’ll plan and execute events, activations, and grassroots marketing initiatives that build awareness, deepen community connections, and inspire families to participate in our programs. This role is ideal for someone who thrives on creating memorable experiences—equally comfortable behind the scenes planning logistics and out in the field engaging directly with families, pre-schools, daycares, and other youth organizations. This hybrid position will collaborate with Regional/City Managers (RMs/CMs) and the Marketing team to ensure local marketing efforts align with broader organizational goals while leaving a strong and positive community impact. Key Responsibilities Event Planning & Execution • Plan, coordinate, and execute field activations and local events that showcase our programs (e.g., open houses, community fairs, helmet safety demonstrations)., • Manage event logistics with relevant operations teams for event prep including venue booking, setup, staffing, and promotional materials., • Represent the organization by attending all community events with professionalism, enthusiasm, and authenticity., • Capture highlights, stories, and media from events and share organized files to the team post-event to support future marketing efforts., • Order materials through our internal company storefront and keep track of marketing material inventory. Field Marketing & Community Outreach • Build and maintain relationships with daycares, preschools, community organizations, and local businesses in the neighborhoods that draw to our sites., • Identify and pursue partnership opportunities that align with our mission and values., • Support grassroots marketing campaigns such as visiting pre-schools and daycares to drop off relevant marketing materials, organizing school newsletter submissions, and local PR outreach to help Pedalheads social proofing., • Distribute branded materials to ensure consistent, high-visibility presence in the community., • Strategize brand awareness ideas and execute initiatives that gets Pedalheads into hands of families with 0-3 year olds and 3-5 year olds. Content & Storytelling • Capture localized, user-generated content at events and organize content for our social team to enrich marketing and social channels., • Share community stories and feedback with the Marketing team to spotlight intel on the way localized communities book their kids programs, perceive our program, and other feedback helpful to refining our local marketing strategy., • Support influencer and ambassador engagement efforts by suggesting potential collaboration opportunities for Pedalheads. Opportunity to support the marketing team with social media engagement strategies. Research & Insights • Conduct research to identify new opportunities for events, sponsorships, and partnerships., • Track event and partnership outcomes, providing data and insights for continuous improvement. Operational & Regional Support • Assist Regional Manager and City Managers from your location as well as other assigned regions with event-related and community-facing initiatives (e.g., job fairs, seasonal wrap-ups, pod drops, and fundraising initiatives)., • Maintain event toolkits, templates, and resources to support scalable activations across regions., • Help manage community-facing branding (signage, office decals, vehicle wraps, etc.). Who You Are • A natural connector who thrives in social and public-facing settings., • Proactive and adaptable—you spot opportunities and make them happen., • Organized and detail-oriented, with strong project and event management skills., • Proven track record of keeping detailed notes, efficient and complete data entry, and meeting deadlines for tasks and projects., • Confident, approachable, and enthusiastic about representing the brand., • A collaborative team player who can also work independently., • 1-year of experience in event planning, field marketing, community outreach, or partnerships., • A valid and current driver's license and is comfortable driving around the region in a transport van. Access to a vehicle is an asset., • Must have the ability to pick up, load, transport, carry, and set up event materials (approximately 20-50lbs), • Proven ability to execute successful events and build strong community relationships with families., • Prepared to make yourself available for evening and weekend work to meet the demands of event and field marketing opportunities., • Relevant customer service or community engagement experience, • Experience using tools such as Excel, Asana, Dropbox, and social media platforms is an asset., • Familiarity with local daycares, preschools, and family-centered communities in your region is an asset., • Bilingual English/Spanish is a strong asset. What Success Looks Like • Events and field activations are engaging, well-organized, and generate strong attendance., • Events have well thought out lead generation tactics pre-planned well before event date. Lead generation goals are established in an event plan, executed on the day, and reported on post-event., • Partnerships with preschools, daycares, youth community groups, and relevant local organizations grow in number and strength., • Field marketing efforts increase awareness and drive measurable interest in programs., • Event stories and content enhance the brand’s visibility online and offline., • Regional teams feel supported by a marketing liaison and empowered to deliver impactful community outreach.
