Job Description REDWOOD CITY SCHOOL DISTRICT CLASS TITLE: SCHOOL OFFICE MANAGER BASIC FUNCTION: Under the direction of the Principal / appropriate Administrator, organize, coordinate, schedule and perform office activities at an assigned school and serve as secretary to the Principal / appropriate Administrator; train and provide work direction to clerical personnel and others as assigned. Serve as liaison between various programs on site. Plan, organize, coordinate, and oversee day-to-day school office activities and relieve the Principal / appropriate Administrator of administrative detail. Establish and maintain cooperative working relationships. Perform complex secretarial and clerical work involving independent judgment requiring thorough knowledge of District policies and rules and regulations, and selected sections of the Education Code. Perform public relations and communication services. Work independently and be flexible. Work with constant interruptions and demanding time lines. Be trained in basic and emergency first aid, CPR and follow physician directions regarding medication. Devise or adopt office procedures to changing organizational needs. Understand and carry out oral and written directions. Plan, organize, and direct the work of others. Use tact, diplomacy, discretion and confidentiality as necessary. REPRESENTATIVE DUTIES: Plan, organize and coordinate a wide variety of clerical and other office functions and activities in the administrative office of an assigned school; prioritize and schedule duties and assignments to assure efficiency and meet established time lines. Serve as secretary and provide administrative assistance to the Principal / appropriate Administrator; schedule and arrange appointments, meetings and conferences; open, sort and route mail. Assist the Principal / appropriate Administrator with routine administrative duties and in their absence use independent judgment to determine appropriate course of action regarding emergency situations. Communicate with a variety of site and District personnel and administrators regarding school operations and maintenance, personnel matters, supplies, policies and procedures and student attendance, activities and concerns. Translate and interpret both oral and written communications for administrators, faculty, parents and students as assigned. Input from notes, rough draft or verbal instruction a variety of written materials including correspondence, bulletins, records, forms, memoranda, reports, lists and confidential materials. Compile and organize information for the Principal / appropriate Administrator; compose and respond to routine correspondence; collect, complete and expedite State and District required forms and reports. Using tact, patience, courtesy and good judgment, answer phones and greet visitors; take and relay messages; provide information to students, parents, faculty and site personnel; interpret, apply and explain District policies and school procedures and regulations. Train and provide work direction to other personnel as assigned; provide input and recommendations regarding performance evaluations as requested. Operate a variety of business and office machines including typewriter, calculator, fax copiers, computer, peripheral equipment and computer software as required by the District or site. Inventory, order, receive and distribute school supplies, materials and equipment.. Process purchase orders for outside vendors as needed. Assure that office machines function properly and arrange repairs, maintain ample supplies of toner and copy staples and fill machines as needed. Keep accurate records of copy usage as required by the District or site. Prepare and maintain a variety of records pertaining to personnel files and reports related to and including attendance, payroll, supplies and inventory and site maintenance operations; maintain confidentiality of information. Administer the certificated and classified payroll; maintain accurate absence records and reports and prepare substitute time sheets; provide orientation, lesson plans, keys, directions and pertinent information to substitutes. Collect and account for fees and other monies as directed; prepare bank deposits and maintain budget records as assigned. Maintain separate records for various programs at the school site such as: Principal’s accounts, family centers and school activities, etc. Enroll and transfer students using district database. Assure that records are completed and processed properly including attendance, health and medical forms, immunization and records for extra ordinary circumstance students. Administer first aid to ill and injured students in accordance with established policies and guidelines; respond effectively in emergency situations, taking appropriate action. May be required to administer first aid/CPR and dispense medication as prescribed by a physician. May also be required to provide specialized services, (i.e., toileting, changing soiled clothing, monitoring diabetics and asthmatics, etc.), during the absence of regularly assigned staff. Maintain medical records as required. Perform other related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Organization and coordination of clerical and secretarial functions in a school office Secretarial, clerical and administrative assistance duties required to support a school administrator Modern office practices, procedures and equipment Record-keeping techniques Oral and written communication skills Telephone techniques and etiquette Correct English usage, grammar, spelling, punctuation and vocabulary Interpersonal skills using tact, patience and courtesy First Aid procedures Health and safety regulations District organization, operations, policies and objectives Applicable sections of State Education Code and other applicable laws Operation of a computer and data entry skills Appropriate software such as: PowerSchool, Microsoft Office, Filmmaker Pro, etc. Basic accounting procedures ABILITY TO: Plan, organize, coordinate and prioritize a wide variety of clerical and secretarial activities and functions in a school office. Assist a Principal / appropriate Administrator with administrative matters and respond to routine inquiries Add, subtract, multiply and divide quickly and accurately Communicate effectively with students, parents, staff and administration Read, interpret, apply and explain rules, regulations, policies and procedures Work effectively with constant interruptions Work confidentially with discretion Maintain records and prepare reports Skillfully keyboard at approx. 50 wpm Establish and maintain cooperative and effective working relationships with others Analyze situations accurately and adopt an effective course of action Meet schedules and time lines Plan and organize work Train and provide work direction to others EDUCATION AND EXPERIENCE: · Graduation from high school or G.E.D and, · Official high school or G.E.D. transcripts, and, · One of the following o Five years experience working in a similar position, or, o 12 units of course work in clerical related courses such as business, office management or related field and three years of increasingly responsible clerical and secretarial experience involving public contact. Possession of a current certificate in cardiopulmonary resuscitation (CPR), issued by American Red Cross or American Heart Association, and a certified Multimedia First Aid Card is required. Maintain up-to-date certificates in first aid and CPR. Completion of Blood borne Pathogen Safety Training. LICENSES AND OTHER REQUIREMENTS: Valid California driver’s license, evidence of appropriate automobile insurance based on DMV regulations and insurable by the District liability insurance carrier. Valid First Aid Certificate issued by an authorized agency. Some positions in this classification may require bilingual skills in a second designated language.
