Reports to: Head of Marketing Role Purpose The Events Coordinator plays a central role in ensuring the smooth planning, delivery, and evaluation of the organisation’s events, training sessions, meetings, and external engagement activity. This requires a self-motivated, enthusiastic person with strong initiative, excellent interpersonal and organisational skills, and the ability to hold an overarching view of all moving parts. Working closely with the Head of Marketing and the wider delivery team, the postholder will act as the first point of contact for service users, suppliers and wider stakeholders ensuring a warm, professional, and consistent experience. They will coordinate logistics, manage timelines, support at in-person and on-line delivery, and capture activity where required through photography, evaluation, and follow-up communications. Key Responsibilities Meeting and Event Planning & Coordination • Oversee the end-to-end coordination of events, training sessions, workshops, and meetings., • Develop and maintain event project plans, timelines, and checklists to ensure all tasks are completed on schedule., • Hold the overarching view of each meeting and event, proactively identifying risks, gaps, and dependencies., • Coordinate venue bookings, catering, equipment, accessibility requirements, and travel arrangements., • Liaise with speakers, facilitators, suppliers, and partners to ensure smooth delivery., • Prepare materials, agendas, name badges, sign-in sheets as required. Attendee & Stakeholder Engagement • Act as the initial point of contact for enquiries, providing timely and professional responses and manage communications before, during and after meetings and events., • Build positive relationships with delegates/attendees, service users, partners, and community stakeholders. Meeting and Event Delivery - On-the-Day Support • Attend and support both on-line (as required) and in-person meetings and events, ensuring smooth set-up, delivery, and pack-down., • Capture high-quality photos, quotes, and activity notes for reporting and marketing., • Troubleshoot issues calmly and professionally, ensuring a positive experience for all attendees., • Provide support during meetings, including minute/record-taking where required. Marketing & Communications • Support the creation and scheduling of social media content, newsletters, and website updates., • Produce engaging event promotion materials and delegate communications., • Maintain brand consistency across all external-facing materials., • Work with the Operations team to share stories, photos, and impact updates. Monitoring, Evaluation & Reporting • Collect and analyse event feedback, attendance data, and evaluation forms., • Produce short evaluation summaries for larger events and visual reports for internal and external use., • Maintain accurate records of engagement, mailing lists, and contact data., • General Administration & Operational Support, • Maintain organised digital filing systems., • Work with the Finance & Office Administrator to ensure smooth procurement, invoicing, and budget tracking for events., • Contribute to continuous improvement of processes, templates, and operational systems. Person Specification Essential • Highly organised, proactive, flexible, solution focused and able to manage multiple priorities., • Ability to work independently and use initiative., • Strong project coordination skills with the ability to anticipate needs and take initiative., • Confident communicator with excellent relationship-building skills., • Comfortable representing the organisation as the first point of contact., • Strong written communication and attention to detail., • Experience supporting and coordinating meetings, events or projects., • Competent with digital tools (Google Drive, Microsoft Teams, social media platforms)., • Willingness to work occasional evenings or weekends for events. Desirable • Experience in the charity, community, or education sectors., • Photography or content-creation skills., • Experience producing marketing materials or social media content., • Understanding of accessibility and inclusive event design.
