Job DescriptionAdministrative Assistant Location: St. Louis Park, MN (Fully Onsite) Compensation: $40,000-$50,000 annually Schedule: Monday-Friday, onsite Employment Type: Full-Time About the Role An established accounting firm in St. Louis Park is seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and assist our accounting team. This role is ideal for someone proactive, professional, and comfortable working in a client-facing environment. You will play a key part in keeping the office running smoothly, supporting both internal staff and external clients. Key Responsibilities • Greet and assist clients, visitors, and vendors in a professional and welcoming manner., • Answer and route incoming phone calls; manage voicemail and client messages., • Provide administrative support to accountants and leadership, including scheduling, document preparation, and filing., • Organize, scan, and maintain electronic and physical records, ensuring accuracy and confidentiality., • Assist with assembling tax returns, financial statements, and client packets., • Manage incoming and outgoing mail, including certified and time-sensitive documents., • Coordinate office supplies, maintain inventory, and manage vendor relationships., • Support billing activities by preparing invoices, tracking payments, and updating internal systems., • Help maintain office organization, meeting room readiness, and general workflow efficiency., • Assist with special projects during peak accounting periods (tax season, year-end, audits).Qualifications, • 1-2+ years of administrative, office, or receptionist experience (professional services or accounting firm experience a plus)., • Strong organizational skills with exceptional attention to detail., • Excellent communication skills, both verbal and written., • Proficient in Microsoft Office (Outlook, Excel, Word) and comfortable learning new software., • Ability to maintain strict confidentiality regarding financial and client information., • Professional demeanor with strong customer service skills., • Ability to manage multiple deadlines in a fast-paced environment.What We Offer, • Competitive salary ($40,000-$50,000 based on experience)., • A collaborative and supportive work culture., • Opportunities to learn and grow within an established accounting firm., • Stable, fully onsite work environment.Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and 401K plan.
