Job Description Unit Clerk/Court Liaison Position Summary: Position Summary: Provides indirect patient care in the behavioral health care setting. Meets the communication needs of patients, families, departmental staff, and medical staff. Prepares and compiles records for the unit and maintains organization in the nurse station, assisting assigned clinical staff. Performs assigned secretarial and clerical tasks and participates in performance. Duties and Responsibilities: The duties listed below describe the general nature and level of work performed by the Unit Clerk. Additional responsibilities may be assigned by the Nursing Program Director to meet the needs of Trillium and Brightwell. • Acts as receptionist for unit/floor., • Answers the telephone and provides information or relays messages to staff., • Compiles and reconciles the daily census of patients., • Prepares and assembles health records for new admissions., • Verifies patient demographic information on admission and initiates labeled health records., • Maintains health records in an orderly manner and ensures charts have the necessary forms., • Ensures, all charts and documents are labeled with proper patient ID., • Regularly audits, health records and flags documents for signatures., • Prepares and processes health records for discharge or transfer, making appropriate copies for departments such as Nursing, Utilization Review and Billing., • Collects loose filing for discharged health records and files them appropriately., • Stocks all forms and verifies the most current versions are in circulation., • Keeps the nursing station clean and uncluttered daily., • Keeps the desk stocked with necessary clerical supplies., • Assists in maintaining a safe, therapeutic environment by communicating with appropriate staff and departments., • Prepares admission packets. Make sure there are ten packets available all the time., • Documents daily lab results in the logbook and notifies, the charge RN or LPN if information is missing. Files la work reports after review and signature by medical staff., • Coordinates with Nursing and Social Work., • Maintains patient confidentiality at all times., • Completes annual education requirements., • Participates in staff development offerings to enhance job performance., • Maintains a positive attitude toward coworkers, patients, families, and visitors., • Adheres to the dress code; appearance is neat and clean. Wears identification while on duty., • Reports to work on time and as scheduled, completing work within designated timeframes. Uses computerized punch time system correctly. Minimum Qualifications • High School graduate or equivalent. Associate’s degree preferred., • One or more years of previous similar hospital experience., • Excellent communication skills., • Ability to read and communicate effectively in English., • Basic computer knowledge., • Knowledge of medical terminology. Requirements For Position • Hearing: Hearing acuity sufficient to perform job functions, • Speaking: Able to articulate Trillium’s and Brightwell’s goals and objectives and effectively present information to management, committees, staff, patients, families, and regulatory agencies., • Vision: Normal visual acuity., • Writing: Written communication skills sufficient to prepare medical records., • Other: Problem-solving and organizational skills. Physical Demands: • Physical: Lifting up to 40lbs., • Manual Dexterity: Average Age of Patients Served And Age-Specific Technology: • Adult Population: Age 18 and up, • No specific clinical competencies required.
