Position Summary: Our company is seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to the executive team. The Executive Assistant will be responsible for managing the schedules, appointments, and travel arrangements of the executives, as well as preparing documents, reports, and presentations. The ideal candidate is proactive, professional, and able to handle sensitive information with discretion. Key Responsibilities: • Manage the schedules and appointments of the executives, including coordinating meetings and conference calls, and resolving scheduling conflicts., • Arrange travel and accommodations for the executives, including flights, hotels, and transportation., • Prepare and proofread documents, reports, and presentations, ensuring accuracy and attention to detail., • Conduct research and gather information as needed to support the executives' work., • Communicate with internal and external stakeholders on behalf of the executives, including answering phone calls, responding to emails, and drafting correspondence., • Maintain and organize files, records, and databases, ensuring confidentiality and security of information., • Manage office supplies and equipment, including ordering and restocking as needed., • Attend meetings and take detailed notes and distribute meeting agendas and minutes as required., • Able to work flexibly with operations hours and with teams in various time zones., • Able to manage lifecycles of contracts (drafting, reviewing, documenting, and filing)., • Provide ad hoc support to the executive team as needed. Basic Qualifications: • High school diploma or equivalent., • 3+ years of experience as an executive assistant or in a similar administrative support role., • Experience in handling, processing, and organizing contracts and agreements., • Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks and projects simultaneously., • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with stakeholders at all levels., • Demonstrated proficiency with Microsoft Office, Google Suite, and other relevant software., • Strong attention to detail and accuracy, with the ability to proofread and edit documents effectively., • Ability to handle sensitive and confidential information with discretion., • A proactive and self-motivated attitude, with the ability to anticipate needs and take initiative., • Professionalism and poise, with the ability to represent the executives and the company in a positive and professional manner. Preferred Qualifications: Associate's or bachelor's degree preferred. Physical Requirements: Able to remain in a seated position for an extended period and to lift and carry up to 15 lbs. (office manuals, case notebooks, case files, case materials, standard boxes, report binders, etc.) as needed.
