Job DescriptionSalary: $35,322 - $52,632 - $64,642 LITTLE RIVER BAND OF OTTAWA INDIANS POSITION VACANCY ANNOUNCEMENT Position: Legislative Assistant Hiring Range: $35,322 - $52,632 - $64,642 Pay Grade: E2 Status: Exempt, Bi-weekly pay Background Check: Extensive Summary: This position is responsible for providing high-level administrative support by conducting research, preparing compiling information for statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Employment Qualifications: A qualified candidate offers: • Associate degree with major emphasis in business, political science, public administration or related field is required or a High School Diploma / GED and work experience of three years as executive or administrative assistant or legislative assistant., • Prior office management and policy experience is required., • Working knowledge of sensitivity communication practices in order to speak with and for the Tribe., • Prior experience working for or with tribal governments is preferred., • Extensive knowledge and experience working with Native American communities, culture, customs and cultural law is required., • Enrolled citizen of LRBOI, federally recognized tribe or Alaskan native IS required., • Indian preference is applicable in accordance with Ordinance #15-600-02. Duties & Responsibilities: Administration • Assist Recorder and Legislative Director in preparing the weekly Tribal Council Agenda., • Performs skilled clerical and administrative support work, including but not limited to data entry, transcription, report generation and compilation, recording of meeting minutes, form and spreadsheet creation, in addition to answering phones, receiving and processing department mail, responding to e-mail correspondence, greeting visitors, scheduling appointments, providing basic answers to departmental services questions, and referring visitors to the appropriate staff members., • Composes, types, disseminate, and edits a variety of correspondence, reports, memoranda and other such documents which requires judgment in regards to content, format, accuracy, and completeness., • Transcribe all meetings into approved meeting minutes format for final adoption., • Operates and provides support to staff members on a broad range of office equipment., • Oversees and maintains department hardcopy and electronic files; establishes monitors adherence to approved file maintenance system and office procedures., • Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution., • Schedules staff appointments and maintains departments calendar as needed., • Coordinates efforts with Purchasing Department for the following:, • Travel plans for staff/Tribal Council as needed., • Requisitioning of all office supplies and materials., • All other duties as assigned by Legislative Director. Communication & Public Relations • Identifies and provides requested information to Tribal members, identifying public versus confidential documents and appropriate approval to disseminate such information. Other Skills & Abilities • Office and personnel management., • Effective written and oral communication skills., • Word processing skills necessary to work with speed and accuracy., • Knowledge of computer chart, graph and table formatting., • Familiarity with legislative, administrative and judicial systems., • Ability to perform multiple tasks accurately and efficiently under time constraints., • Ability to work both independently and cooperatively., • Ability to exercise professional judgment and maintain confidentiality.
