Job DescriptionSalary: Purpose of the Job: The Creative Arts Assistant (CAA) provides high-level administrative and operational support in a one-on-one working relationship with the Creative Arts Pastor. The CAA serves as a central liaison for the Creative Arts Departmentworking closely with Worship, Production, Communications, and campus teamsand helps coordinate projects, communication flow, and logistical needs across all areas of Creative Arts. Experienceand KnowledgeRequired: • Ability to manage multiple projects, details, and teams effectively in a fast-paced, multi-campusenvironment., • Minimum of one year in an administrative, project coordination, or support role (church or creative department experience preferred but notrequired)., • Excellent verbal and written communication skills., • Strong interpersonal and relational skills; able to work well with staff, volunteers, and ministry partners., • Demonstrated ability to exercise good judgment, confidentiality, and discretion in a variety of situations., • Proficiencyin Microsoft Office applications., • Ability to quickly learn andutilizeministry platforms such as Planning Center Online (PCO), Asana, and other creative workflow tools., • Basic familiarity with creative environments (graphics, video, photography, or social media) is encouraged but notrequired., • Strong organizational and time-management skills with a proven ability to meet deadlines and follow through., • Demonstrated problem-solving skills and the ability toanticipateneeds before they arise. Essential Functions & Responsibilities: Administrative & Operational Support • Manage the day-to-day administrative operations of the Creative Arts Department, ensuring tasks and communications are handled efficiently and proactively., • Organize,maintain, and improve file systems, digital assets, shared drives, and departmental documentation to ensure consistent organization and accessibility for the creative team and volunteers., • Prepare and edit correspondence, reports, presentations, and project documents on behalf of the Creative Arts Pastor/Director and team., • Assistwith scheduling, task tracking, follow-ups, and the ongoing coordination of creative projects across several locations., • Attend Creative Arts team meetings, record notes and action items, and ensure follow-through on assignments and deadlines. Project & Production Coordination • Support planning and implementation of department projectsincluding weekend services, sermonseriesassets, seasonal experiences, andspecial eventsby managinglogistics, timelines, and communication with relevant teams., • Monitor the status of ongoing design, video, and communications projects, ensuring details are captured, deadlines are met, and the Creative Arts Pastor stays informed ata high level., • Provide hands-on logistical support for weekend services and events, including procurement, print pickups, volunteer coordination, and project-related errands as assigned. Volunteer & Serve Team Support • Help recruit, onboard, and schedule Creative Arts Serve Team members (including photography, video, graphics-support, production, and/or worship arts roles as needed)., • Maintain ongoing communication, care, and support for Creative Arts volunteers, ensuring they feel valued, equipped, and connected., • Assistin coordinating volunteertrainings, meetings, and appreciation initiatives. Communication & Department Liaison • Serve as the first point of contact for general Creative Arts inquiries via email and phone., • Facilitate clear andtimelycommunication between the Creative Arts Department and internal ministry partners, especially in collaboration with the Communications Director., • Relay information, updates, and requests to the Creative Arts Pastor, Graphic Designer, and Video Producer to keep workflows moving smoothly. Creative Awareness & Support • Possess working knowledge (or willingness to learn) of graphic design, videography, photography, and/or social media workflows to better support team processes and communication., • Provide basic creativeassistancewhen neededsuch as preparing files, gathering assets, coordinating shoots, or supporting social media initiativeswithout serving as a primary creative lead. General Responsibilities • Maintain confidentiality, professionalism, and a team-first attitude reflective of the culture of Victory Church., • Run ministry-related errands and support weekend or event needs asrequested., • Perform all other duties as assigned by the Creative Arts Pastor. Physical Demands: • Ability to stand and walk for extended periods during events, services, or on-campus tasks., • Ability to lift and carry materials, equipment, or supplies (up to a reasonable weight, e.g., 2540lbs.optional to specify)., • Occasional driving for errands, events, or inter-campus coordination.
